About the Role
We are looking for a highly organised and proactive Assistant to provide comprehensive support to the Books Vice Presidents and wider leadership team. This is a varied and fast-paced role at the heart of the business, offering the opportunity to work closely with senior stakeholders across a global organisation.
In this role, you will provide high-quality administrative and coordination support, helping to keep day-to-day operations running smoothly. You will manage complex schedules, coordinate meetings and travel, support onboarding activities, and maintain key departmental communications and resources. Success in the role will require exceptional organisational skills, attention to detail, sound judgement, and the ability to build strong relationships across a diverse stakeholder community.
You will work collaboratively with colleagues and leaders across the business and Books business area, ensuring priorities are delivered efficiently and providing proactive support on a wide range of activities and projects. Role Responsibilities
A broad variety of administrative tasks for the Books Vice Presidents.
Coordination for VP/discipline team meetings.
Provide comprehensive diary management, coordinating stakeholder availability, scheduling virtual and face-to-face meetings, providing availability and rescheduling/optimising calendars to align with business priorities when required.
Coordinate business travel and event logistics, including researching and booking accommodation, arranging meeting facilities, securing visitor access, and recommending suitable dining and networking venues
Support the onboarding process for new hires, including equipment provisioning, access badge coordination, and scheduling introductory meetings.
Manage and maintain centralised departmental information including: organisation charts, intranet announcements and communications.
Provide project coordination support as required, including gathering data and resources, tracking actions and issues, and preparing agendas to support successful project delivery.
Experience, Skills & Qualifications
Ability to managing complexity and demonstrate exceptional organisational, prioritisation, and planning skills, including managing multiple tasks and competing priorities in a fast-paced environment.
Excellent written and verbal communication skills, with a strong attention to detail and the ability to communicate effectively across all levels of the organisation with a high level of interpersonal awareness.
Strong stakeholder management skills, with the confidence and professionalism to build relationships and engage with senior leaders and global teams.
Demonstrable financial acumen
Advanced Microsoft Office proficiency, including strong PowerPoint presentation development skills and a high level of competency in Word, Excel, and Outlook.
Significant demonstrable skills supporting senior executives or leadership teams with wider business goal alignment.
Proactive, resourceful, and solution-oriented, with strong problem-solving skills and the ability to anticipate needs and resolve and manage issues independently.
Highly adaptable and resilient, with the ability to maintain confidentiality and exercise sound judgement when handling sensitive information
Ability to be organisationally savvy, with strong coordination and project support capabilities, and experience managing logistics, events, meetings, and cross-functional initiatives.
