Sales and Event Coordinator
The Overlook at BBI Brands HQ is seeking a Sales and Event Coordinator, this is an excellent opportunity for a proven event professional who is passionate about creating memorable guest experiences.?This role will serve as the primary contact through sales, event detailing, and event execution, creating memorable experiences while generating event revenue and ensuring flawless detail management.?
What you’ll be doing:
- Collaborate with the Events Director to plan and coordinate internal and external events.
- Conduct site tours with prospective clients.
- Provide the highest quality of service to the customer at all times, with quick and timely responses to all calls, emails, and leads
- Manage marketing avenues such as the Engaged Life, and other social event marketing platforms.
- Organize facilities and manage all event details such as decor, catering, entertainment, transportation, location, invitee list, special guests, equipment, promotional material etc.
- Oversee the furniture plan and room layout according to event orders, ensuring proper furniture, equipment, and table settings. This involves coordinating with other departments like the kitchen and bar.
- Maintain a strong physical presence during event setup, execution, and teardown, actively assisting in troubleshooting any issues that arise.
- Serve as the primary on-site contact for clients and guests, answering questions and fulfilling special requests to ensure a positive experience.
- Build lasting relationships with couples, families, vendors, and community partners while delivering a high-touch planning experience that results in exceptional guest satisfaction and repeat business.
- Support local marketing initiatives and develop business relationships by attending networking events, becoming a member of civic organizations, and/or industry associations.
- Other duties as assigned.

These physical demands represent the physical requirements necessary for an associate to successfully perform the essential functions of the position. Reasonable accommodation can be made to enable individuals with disabilities to perform the essential functions described of the position.
1. This position requires walking the property, site tours of the facility with guests and checking on events throughout the day.
2. Ability to stand for extended periods during events and lift/carry event supplies (up to 50 lbs) as needed for setup and teardown.
Travel:
Local and regional travel may occasionally be required. This position requires the successful candidate to have a valid Ohio Driver’s license. The successful candidate would have to provide proof that s/he has a valid driver’s license upon being hired.
Qualifications:
- High School Diploma.
- At least 2 years work experience in the hospitality/event planning industry with wedding or social event planning experience.
- Exceptional organizational skills with a proven ability to manage multiple moving parts, prioritize tasks, and meet strict deadlines.
- Knowledge of wedding etiquette, timelines, ceremony logistics.
- Experience working with wedding vendors including florists, photographers, DJs, entertainment, rental companies, and officiants.
- Proficiency with Google Workspace (Sheets, Docs, Forms). Experience with event registration platforms or CRM databases is a strong plus.
- Strong organizational skills, time management skills and attention to detail
- Ability to work independently and manage multiple, time-sensitive projects at once in a fast-paced environment
- Flexible schedule to include evenings, weekends, and holidays as dictated by business demands
- A proactive approach to troubleshooting issues that may arise during an event.
- Canva experience are preferred
