Job Summary
The Payroll Specialist is responsible for processing payroll accurately and timely while ensuring compliance with federal, state, and local regulations. This position maintains payroll records, processes employee changes, answers payroll-related questions, and supports audits, reporting, and benefits administration activities.
Essential Duties & Responsibilities
Include the following. Other duties will likely be assigned.
- Process weekly, biweekly, or semi-monthly payroll for all employees.
- Review and verify employee time records, pay rates, deductions, and payroll adjustments.
- Maintain accurate payroll records and employee data.
- Process new hires, terminations, promotions, transfers, and pay changes within the payroll system.
- Ensure compliance with wage and hour laws, tax regulations, and company policies.
- Prepare payroll reports and reconcile payroll records.
- Coordinate payroll tax filings and assist with year-end activities, including W-2 processing.
- Respond to employee inquiries regarding pay, deductions, taxes, and leave balances.
- Administer garnishments, child support orders, and other required deductions.
- Assist with audits and provide payroll documentation as requested.
- Maintain confidentiality of employee and company information.
- Support Human Resources with benefits administration and employee record maintenance as needed.

PREFERRED EDUCATION and/or EXPERIENCE
- Associate degree in Accounting, Business Administration, Human Resources, or related field preferred.
- Minimum of 2 years of payroll processing experience.
- Experience with payroll software and HRIS systems preferred.
- Construction industry payroll experience preferred.
REQUIRED SKILLS
- Strong understanding of payroll practices and employment tax regulations.
- Proficiency in Microsoft Excel and Microsoft Office applications.
- Excellent attention to detail and accuracy.
- Strong organizational and time-management skills.
- Ability to handle confidential information with discretion.
- Effective verbal and written communication skills.
- Ability to meet deadlines in a fast-paced environment.
LANGUAGE SKILLS
Must have the demonstrated ability to effectively communicate in English, cooperate, and collaborate with multiple levels of customers, employees, unions, government agencies, vendors and suppliers, and other contractor organizations.
