Summary of Job Duties:

The Administrative Coordinator works closely with the Department Administrator, Faculty, and the Administrative Services Manager to accomplish project goals. Under the direction from the Administrative Services Manager, the Administrative Coordinator provides administrative and office support. The duties include but not limited to purchasing, payroll, staffing, and travel. The Administrative Coordinator must exude professionalism and have knowledge of general business, be proficient in Microsoft Office, and exhibit strong oral and written communication skills. This position requires a highly organized, reliable individual who possesses a very strong work ethic and ability to complete tasks independently in a timely professional manner.


Qualifications:

  • Bachelor’s degree plus two (2) years of experience in administrative coordination, project management, or project coordination; OR High school diploma or GED plus six (6) years of experience in administrative coordination, project management, or project coordination.

Knowledge, Skills, and Abilities

  • Excellent computer skills, including proficiency in Microsoft Office.

  • Ability to prepare accurate reports, spreadsheets, and professional correspondence.

  • Strong written and verbal communication skills.

  • Excellent organizational, time-management, and prioritization skills.

  • Ability to work independently and complete assignments accurately and promptly.

  • Ability to manage multiple projects and deadlines.

  • Strong attention to detail and problem-solving skills.

  • Ability to maintain professionalism and confidentiality.

Preferred Qualifications

  • Experience using Workday.

  • UAMS travel and purchasing experience.


Additional Information:

Responsibilities

  • Provides administrative and office support to the Department Administrator, faculty, and Administrative Services Manager.

  • Coordinates departmental projects, tracks deadlines, and assists with meeting project goals.

  • Processes purchasing transactions, requisitions, invoices, and other departmental expenditures.

  • Coordinates employee travel arrangements, authorizations, reimbursements, and required documentation.

  • Assists with payroll and timekeeping activities, including reviewing records for accuracy and resolving discrepancies.

  • Supports staffing and onboarding activities, maintains personnel documentation, and coordinates administrative requirements.

  • Prepares reports, spreadsheets, correspondence, presentations, and other departmental materials.

  • Maintains departmental files, records, calendars, and databases in accordance with established procedures.

  • Schedules meetings, prepares agendas and materials, records minutes, and follows up on assigned action items.

  • Communicates professionally with faculty, staff, vendors, and internal and external stakeholders.

  • Monitors office supplies and equipment and coordinates ordering as needed.

  • Handles sensitive and confidential information with professionalism and discretion.

  • Prioritizes multiple assignments and completes tasks independently, accurately, and within established deadlines.

  • Performs other duties and special projects as assigned.
