PRIMARY PURPOSE:
To provide strategic leadership and oversight for all facilities operations across the organization, including staff supervision, maintenance, cleaning, renovation, safety, compliance, and sustainability, ensuring that all facilities, equipment, and grounds are maintained to the highest standards and aligned with organizational goals and regulatory requirements.
ESSENTIAL JOB FUNCTIONS:
- Directly supervise the Facilities Manager, providing guidance, mentorship, and performance management.
- Oversee the recruitment, training, and professional development of facilities staff.
- Foster a culture of safety, accountability, and continuous improvement across the facilities team.
- Develop and implement long-term facilities strategies aligned with organizational objectives.
- Develop and implement maintenance plans and coordinate contracted repairs for all FoundCare facilities.
- Conduct cleaning, repair, and maintenance work as needed.
- Oversee the overall appearance and functionality of all locations, including building interiors and exteriors, landscaping, and parking lots and driveways.
- Supervise cleaning services, including monthly maintenance checklists and follow-up with staff and contracted service providers.
- Oversee the landscaping contractor to ensure outdoor areas are maintained for appearance and safety.
- Conduct annual physical inventory of equipment, furniture, and other organizational property.
- Ensure timely response to work requests and proactively identify facility needs.
- Make recommendations on updates, upgrades, improvements, or renovations as required.
- Oversee office moves, renovations, and space reconfigurations, optimizing space utilization for efficiency and cost-effectiveness.
- Prepare and manage annual budgets for facilities operations, maintenance, and capital improvements.
- Ensure compliance with all applicable federal, state, and local regulations, including OSHA, ADA, and fire codes.
- Ensure all building permits and licenses for facilities and equipment are properly maintained and that renewal applications are submitted in a timely manner to prevent any lapse in coverage.
- Evaluate vendor performance and ensure service level agreements are met.
- Coordinate, supervise, and oversee contractors engaged in facilities-related work.
- Develop and implement safety and emergency preparedness plans.
- Conduct regular safety audits and risk assessments.
- Lead sustainability initiatives, including energy efficiency, waste reduction, and recycling programs.
- Monitor and report on energy usage and environmental impact.
- Prepare facilities for open houses, health fairs, press conferences, and other special events, including developing plans for event readiness and post-event restoration.
- Maintain maintenance, registration, and proper operation of all agency vehicles, including pick-up and delivery of items between agency facilities as needed.
- Maintain all necessary records required for accounting and service delivery purposes.
- Maintain client and family confidentiality at all times.
- Perform other duties as assigned.
Requirements
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
- Comprehensive knowledge of facilities operations, maintenance practices, and building systems.
- Knowledge and experience in completing building permits, occupational license applications, and submitting documents for registration and licensing of equipment.
- Strong leadership and supervisory skills, with the ability to manage and develop a diverse facilities team.

- Ability to communicate clearly and professionally in English, both verbally and in writing, across all administrative and operational interactions.
- Ability to manage multiple priorities and tasks simultaneously in a fast-paced environment.
- Ability to review, understand, and apply concepts presented in training programs, conferences, and professional literature.
- Proficiency in Microsoft Office Suite and standard facilities management software.
- Comfort working in an environment where staff education on HIV prevention and sexual health is part of the agency's mission, which may include exposure to explicit health materials and direct conversations on sensitive topics.
PHYSICAL REQUIREMENTS:
- Ability to endure short, intermittent, and/or long periods of sitting and/or standing in performance of job duties.
- Full range of body motion required. Position requires reaching, bending, and handling objects with hands and/or fingers, talking and/or hearing, and sight.
- Ability to lift and carry objects weighing up to 50 pounds.
- Operate standard office and facilities equipment and technology, including computers, telephones, and maintenance tools, in the course of daily duties.
- Ability to travel to other FoundCare locations and perform job duties.
- Ability to travel to other locations to attend meetings, workshops, and seminars, plus travel to other FoundCare conference rooms.
MINIMUM QUALIFICATIONS:
- Bachelor’s degree in Business, Facilities Management, or a related field.
- Minimum of five (5) years of recent experience in facilities or custodial maintenance.
- Minimum of one (1) year of supervisory experience.
- Preferred: Knowledge of HVAC systems and maintenance.
- Valid Florida driver license, reliable transportation, and automobile insurance.
- Satisfactory driving record meeting FoundCare insurer approval requirements.
- Schedule flexibility to accommodate weekends, evenings, and on-call response as needed.
