SUMMARY

The SSC Supervisor is responsible for overseeing the day-to-day operations of the Shared Service Centre (SSC) in Poland, ensuring the accurate, timely, and controlled delivery of invoicing and related support services across multiple business locations.

This role combines operational leadership with hands-on process oversight, ensuring that service delivery meets established quality, compliance, and performance standards. The SSC Supervisor will provide direction, coaching, and support to the SSC team while driving accountability, efficiency, and continuous improvement.

As the SSC evolves and expands, the role will play a key part in developing scalable processes, strengthening internal controls, establishing best practices, and supporting the successful transition of invoicing activities from additional countries into the SSC. Given the direct impact of invoicing activities on customer satisfaction, revenue recognition, cash flow, and financial performance, maintaining service excellence, timeliness, and operational discipline will be critical to success.

DUTIES & RESPONSIBILITIES

  • Coordinate and oversee daily SSC operations, ensuring workload is effectively distributed, priorities are clearly defined, and service commitments are consistently achieved.

  • Lead, supervise, coach, and support SSC team members, promoting a culture of accountability, quality, collaboration, and continuous improvement.

  • Monitor workflow, service levels, and operational performance to ensure activities are completed accurately and within agreed timelines, proactively addressing any delays or bottlenecks.

  • Ensure compliance with established Standard Operating Procedures (SOPs), internal controls, company policies, escalation procedures, and reporting requirements.

  • Take ownership of complex operational issues, driving resolution and implementing corrective actions to prevent recurrence and improve overall process effectiveness.

  • Act as the primary operational point of contact for key stakeholders across Finance, Operations, Commercial, and country teams, ensuring effective communication and cross-functional collaboration.

  • Support the onboarding, training, and development of SSC employees, ensuring consistent knowledge transfer and adherence to standardised processes.

  • Monitor key performance indicators (KPIs), service quality, operational backlogs, and issue resolution activities, identifying risks and implementing mitigation plans where required.

  • Support the successful implementation and stabilisation of the new Financial Module and other systems impacting SSC operations.

  • Contribute to the establishment and ongoing development of the SSC by designing, documenting, and enhancing processes, controls, and service standards that support sustainable growth and operational excellence.

  • Identify opportunities for process optimisation, automation, and efficiency improvements, supporting the SSC's long-term strategy and continuous improvement objectives.

  • Ensure a strong customer-focused approach to service delivery, maintaining high levels of responsiveness and stakeholder satisfaction.

  • Assist with future transition and migration activities as invoicing processes from additional locations are integrated into the SSC structure.

QUALIFICATIONS

  • Minimum 5 years of experience in a Shared Services Centre (SSC), finance operations, commercial operations, business support, or a similar service delivery environment, including experience coordinating processes, managing priorities, and supporting operational performance.

  • Degree in Finance, Accounting, Business Administration, Operations Management, or a related discipline preferred. Equivalent relevant professional experience and demonstrated capability in a comparable role will also be considered.

KNOWLEDGE, SKILLS & ATTRIBUTES

  • Experience coordinating or supervising teams within a transactional, operational, or shared services environment.

  • Strong understanding of Service Level Agreements (SLAs), Key Performance Indicators (KPIs), Standard Operating Procedures (SOPs), internal controls, and escalation processes.

  • Experience working with ERP systems, with strong proficiency in Microsoft Excel and other reporting and data analysis tools.

  • Strong written and verbal communication skills in English; proficiency in additional European languages would be considered an advantage.

  • Experience supporting Shared Service Centre operations, transitions, or process migrations is preferred. Previous experience within the inspection, oil and gas, logistics, laboratory services, industrial services, or a related industry would be advantageous.

  • Flexible and resilient with a problem-solving attitude.

  • Willingness to participate in training courses as required.

  • Strong knowledge of Microsoft Office applications.

  • Customer and Business Orientation: Understands how service performance affects customer satisfaction, revenue recognition, cash flow reliability, and broader operational outcomes.

  • Change Agility: Supports the transition to a developing SSC model by helping the team adapt to new processes, responsibilities, tools, and service expectations.
