Assistant Facility Manager
Job Summary
The Assistant Facility Manager will support the Facility Manager in ensuring smooth and efficient day-to-day operations of the facility. The role is responsible for managing technical services, soft services, transportation, food & beverage operations, vendor management, MIS reporting, compliance activities, and team coordination while maintaining high standards of service delivery, safety, and customer satisfaction.
Key Responsibilities
Facility Operations- Support the Facility Manager in the overall management and operation of the site.
- Ensure seamless delivery of all facility management services in accordance with organizational standards and SLAs.
- Monitor daily operations and resolve operational issues in a timely manner.
- Conduct regular site inspections and ensure compliance with facility standards.
- Supervise technical teams responsible for electrical, HVAC, UPS, DG, plumbing, fire & life safety systems.
- Ensure preventive and corrective maintenance activities are completed as per schedule.
- Track equipment performance and coordinate with vendors for breakdown management.
- Support statutory compliance and maintenance audits.
- Manage housekeeping, pantry, pest control, landscaping, and waste management services.
- Ensure cleanliness, hygiene, and workplace standards are maintained across the facility.
- Conduct quality audits and implement corrective actions where required.
- Coordinate employee transportation requirements and vendor operations.
- Monitor transport schedules, utilization, and service quality.
- Handle employee transportation-related escalations and vendor performance reviews.
- Oversee cafeteria and pantry operations.
- Coordinate with catering vendors to ensure quality, hygiene, and service standards.
- Monitor food safety compliance and address employee feedback.
- Supervise and manage site teams, including technical staff, housekeeping personnel, pantry staff, and vendor resources.
- Conduct regular team meetings and performance reviews.
- Ensure adequate staffing and resource deployment.
- Coordinate with all facility-related vendors for maintenance, repairs, consumables, and service delivery.
- Monitor vendor performance against agreed KPIs and SLAs.
- Support contract administration, renewals, and vendor evaluations.
- Prepare daily, weekly, and monthly MIS reports.
- Track facility expenses, utility consumption, KPI performance, and operational metrics.
- Maintain records related to maintenance, audits, incidents, and compliance requirements.
- Support budget tracking and purchase order management.
- Assist in annual budgeting, cost control, and expense monitoring.
- Support invoice verification, processing, and vendor payment coordination.
- Raise purchase requisitions and purchase orders as required.
- Ensure adherence to health, safety, security, and environmental standards.
- Support emergency preparedness drills and business continuity activities.
- Ensure statutory certifications and compliance records are maintained.
- Act as a point of contact for employees and stakeholders regarding facility-related matters.
- Support the Facility Manager in client meetings and operational reviews.
- Ensure high levels of customer satisfaction through effective service delivery.
Experience
- 5-8 years of experience in Facility Management, Workplace Services, Corporate Real Estate, or Property Management.
- Experience managing technical and soft services in a corporate office environment.
- Experience in vendor management and team supervision.
Technical Skills
- Good knowledge of MEP systems, HVAC, Electrical, Fire & Life Safety systems.
- Proficiency in Microsoft Excel, Word, PowerPoint, and Outlook.
- Knowledge of MIS reporting, budgeting, and facility management processes.
- Understanding of workplace safety and statutory compliance requirements.
