PURPOSE

The Records and Digital Engagement Specialist, under general supervision, primary purpose is to set up, control, and maintain University files. This position assists in developing and updating records, as well as departmental and university policies and procedures.  This position is also responsible for the graphic design of various marketing electronic and physical deliverables to be used for various campaigns along with the management of departmental webpages and social media accounts.

 

DESCRIPTION

Functional Area 1: Operations

Percent Effort: 45%


  • Create an effective and efficient student-centered, service-oriented atmosphere and provide excellent customer service. This includes, but not limited to, answering the telephone promptly; processing students’ changes to the student records accurately and timely.
  • Answer multi-line telephones and troubleshoot any issues presented by callers.
  • Ensures compliance with academic, regulatory requirements, including adherence to FERPA guidelines, accuracy, timeliness, and student-centered professionalism.
  • Provide assistance with registration, transcripts, enrollment certifications and verifications, and end of term processes.

 

 

Functional Area 2: Marketing, Communications & Digital Engagement

Percent Effort: 35%

 

  • Serve as the liaison for Marketing and Communications on behalf of the Registrar’s Office.
  • Assist in promotion and placement of stories with appropriate electronic media, including approved social media ventures.
  • Assist in the development, design and updates of the Registrar web pages.
  • Create, implement, research, and maintain e-marketing initiatives to better communicate with customer bases, via email marketing, social media, virtual environments, etc.
  • Deploy and maintain ongoing efforts for optimized, strategic, branded presences in select social media. Monitor brand mention with a focus on developing, connecting, and engaging with strong communities with a dedicated and responsive outreach.
  • Create/design graphics for use in various communication populations for use in marketing campaigns.
  • Regularly update department webpages with up-to-date information and documents.
  • Create email/text messages templates for the communication of important information and deadlines.
  • Collaborate with partners across campus to successfully execute campaigns.

 

 

Functional Area 3:  Administrative Support

Percent Effort: 20%

 

  • Assist with commencement, and Registrar related events throughout the year.
  • Assist Associate Registrar with special projects and perform other duties as assigned.

 


QUALIFICATIONS

  • Associate’s degree in applicable field.
  • Three (3) years of related experience.
  • Additional experience may be used as a substitute for the minimum education requirement:
    • High School Diploma or GED and five (5) years of related experience
  • Excellent written, verbal, and interpersonal communication skills to be able to communicate effectively in a positive, courteous, professional manner with varying population of customers in person, telephone, or e-mail.
  • Self-motivated, self-directed, and has excellent attention to detail.
  • Ability to work outside regular business hours and weekends as needed for commencement and University programs.


PREFERRED QUALIFICATIONS

  • Bachelor's degree in Communication or related field.
  • Experience in admissions and records in higher education.
  • Working knowledge of Banner Student Information System.
  • Experience with Adobe Suite or Canva
  • Knowledge of Cascade
  • Experience with Mongoose Cadence engagement platform

Up to $17.93 Hourly (Up to $37,437.84 Annually, Approximately)
