Job Description
The Nevada System of Higher Education (NSHE) invites applications and nominations for the position of Assistant Coordinator, Board Operations. This is a renewable, full-time, non-tenured, administrative position that reports to the Chief of Staff to the Board of Regents. The position is located in Las Vegas, Nevada.
The Board of Regents is comprised of 13 members elected from districts across Nevada to govern the state’s public higher education system. The NSHE includes two R1 research universities, one state university, four comprehensive community colleges, and one environmental research institute, collectively serving more than 105,000 students and employing approximately 15,000 faculty and staff statewide.
The Assistant Coordinator, Board Operations provides comprehensive administrative support to the Board of Regents, Chief of Staff to the Board, and Manager of Board Operations in carrying out the diverse functions and activities of the Office of the Board of Regents. Responsibilities include coordinating Regent, executive, and staff travel and attendance at various events, meetings, and conferences; preparing correspondence and other documents and materials; creating, maintaining, and disseminating departmental lists and calendars; scheduling and coordinating meetings; maintaining subscriptions and memberships; ordering academic regalia; assisting Regents at commencement ceremonies and other special events; coordinating the annual Regents’ Awards; processing expense reimbursements and tracking hosting expenditures; ordering office supplies and stationery; assisting with the preparation and execution of Board meetings; and performing a variety of administrative tasks, including copying, filing, mailing, shipping, and framing; and performing other administrative support duties as assigned.
SALARY/GRADE
The Assistant Coordinator, Board Operations position offers a competitive compensation package commensurate with the candidate’s education, experience, and certification/training. In addition to base salary*, employees enjoy a comprehensive benefits package that includes:

· Outstanding Retirement Plan: professional employees are required to participate in the 401(a) Retirement Plan Alternative (RPA). Employees who currently or previously participated in Public Employees Retirement System (PERS) of Nevada may be eligible to continue in the PERS plan.

MINIMUM QUALIFICATIONS: The successful candidate must possess one of the following:
- A bachelor’s degree and one (1) year of administrative experience in a professional office environment; or
- An associate degree and two (2) years of administrative experience in a professional office environment; or
- A combination of education and three (3) years of administrative experience in a professional office environment.
KNOWLEDGE, SKILLS, AND ABILITIES: Successful candidates should possess the following knowledge, skills and abilities. It is recommended that applicants for this position address some of the following elements in their resume or cover letter:
- Excellent written, verbal, and interpersonal communication skills, with the ability to communicate effectively and professionally with Regents, senior administrators, System and institutional personnel, stakeholders, and the public.
- Skill in developing, organizing, maintaining, and retrieving accurate records in accordance with established records-management practices and applicable policies.
- Proficiency with Microsoft Office and other business technology applications, online travel-booking platforms, electronic calendaring systems, and internet-based research tools.
- Ability to effectively plan, prioritize, organize, and manage multiple assignments, competing priorities, and time-sensitive deadlines while maintaining a high level of accuracy.
- Ability to understand, interpret, and appropriately apply statutes, policies, procedures, and established practices to assigned responsibilities.
- Ability to produce accurate, thorough, and timely work while maintaining a high level of attention to detail.
- Ability to independently plan, coordinate, and manage complex in-state, out-of-state, and international travel arrangements and itineraries for multiple Regents and department staff including transportation, lodging, schedules, event attendance, and changes to travel plans.
- Ability to compose, proofread, edit, format, and disseminate accurate and professional correspondence, reports, itineraries, meeting materials, calendar invitations, and other official documents.
- Ability to analyze complex situations, identify and define problems, exercise sound judgment, and propose practical and effective solutions.
- Ability to work independently with minimal supervision while also collaborating effectively with colleagues, leadership, Regents, institutional representatives, and external stakeholders.
- Ability to remain composed, professional, responsive, and solution-oriented in high-pressure, sensitive, and time-critical situations.
- Ability to represent the Board of Regents and NSHE with professionalism, discretion, integrity, sound judgment, and respect in all interactions.
RESPONSIBILITIES: The duties of this position will include, but not be limited to, the following areas of responsibility:
- Provide comprehensive administrative support to the Board of Regents and Board Office.
- Coordinate executive travel arrangements and meeting and event attendance.
- Process expense reimbursements and track hosting expenditures in accordance with established policies and procedures.
- Reconcile purchasing card expenditures and ensure appropriate documentation.
- Assist with the coordination and execution of high-profile public meetings and events.
- Coordinate the annual Regents’ Awards process.
- Prepare correspondence, reports, presentations, and other documents and materials.
- Create, maintain, and disseminate departmental lists, calendars, and other organizational resources.
- Schedule and calendar meetings, appointments, and events.
- Maintain subscriptions, memberships, and related records.
- Order, organize, and maintain academic regalia.
- Provide on-site administrative support to Regents at commencement ceremonies and other special events.
- Order and maintain office supplies and stationery.
- Coordinate the purchase and delivery of food and beverages for meetings and events.
- Perform general administrative duties, including copying, filing, mailing, shipping, and framing.
