Overview:
Assists the Records Supervisor. Assists Detectives and Patrol with all paperwork generated by the Police Department.
Supervision Received:
Works directly under the supervision of the Records Supervisor and the Division Lieutenant.
Essential Job Functions:
Regular attendance in order to fulfill job requirements.
Process, transcribe, validate, and store officer's paperwork, recorded offense reports, and all other
associated paperwork into the records management system.
Provide quality control including but not limited to ensuring the accuracy of information entered into
the records management system.
Utilize the records management system to assist citizens, officers, and administration.
Maintain access control of all documents to be disseminated to other police departments, the courts,
county attorney's office, law enforcement agencies, and the community.
Maintain a working knowledge of the criminal justice records release laws for the State of Utah.
Respond to all records requests.
Perform in-house records management background checks requested by government agencies and
citizens
Provide receptionist duties to include responding to individuals at the window as well as answering
records department telephone lines.
Provide citizens with general information and referrals to appropriate resources.
Provide extensive customer service both internally and externally.
All other duties as assigned and/or deemed necessary.
Knowledge, Skills, and Abilities:
- Essential knowledge of typing, spelling, vocabulary, office procedures and techniques, and all office
- equipment
- Must have the ability to type 50 words per minute on a standard typewriter or keyboard
- Ability to handle stressful situations competently
Minimum Education and Experience Requirements:
Graduation from a standard senior high school or equivalent (GED)
Maintains GRAMA certification
Physical Requirements:
Ability to sit for long periods of time operating telephone, computers, and all other equipment
necessary to perform the job
Ability to properly hear and understand telephone conversations
Ability to proficiently utilize and operate department equipment as assigned
Equipment Used:
Computer, mobile data terminal, telephone, radio equipment, copy machine, and fax machine.
Critical Skills-Expertise:
Proficient in operating computers and using a variety of software programs to perform tasks efficiently
The ability to multi-task effectively in a fast-paced environment is essential, as the role requires managing multiple responsibilities simultaneously
Flexibility and the capacity to adapt to a constantly evolving work environment
Strong organizational abilities and attention to detail
Must be able to successfully pass in-house skills test, background check, a driving record check, and a pre-employment drug test
