Schedule: Monday – Friday, 5:30 AM – 2:00 PM
RESPONSIBILITIES
- Provide professional front-desk, administrative, and Human Resources support to Distribution Center employees, visitors, and leadership.
- Serve as a welcoming and professional first point of contact for associates and visitors entering the Distribution Center.
- Demonstrates a "take ownership" mindset—someone who sees what needs to be done, plans, and gets it done.
- Support hourly recruitment, interview scheduling, hiring, and onboarding processes.
- Prioritize safety for all associates by supporting and reinforcing the Distribution Center's safety programs and initiatives.
- Take ownership of planning and coordinating employee lunches, large-scale meals, celebrations, meetings, and other associate events from start to finish.
- Independently coordinate event logistics, including obtaining headcounts, selecting and ordering food, coordinating vendors, arranging supplies and equipment, setting up event spaces, communicating event details, and ensuring events run smoothly.
- Proactively anticipate event needs and resolve logistical issues without requiring ongoing direction from the HR Manager.
- Coordinate associate recognition programs, celebrations, seasonal activities, and engagement initiatives, ensuring all details are planned and executed on time.
- Maintain accurate and consistent employee, HR, and other related files and documentation.
- Answer general employee questions regarding benefit plans, eligibility guidelines, company policies, and procedures, and appropriately direct questions requiring additional HR support.
- Handle and/or direct employee inquiries regarding various company policies and HR-related matters.
- Ensure timely and accurate processing of HR paperwork, forms, and other documentation.
- Manage and maintain the Distribution Center lobby and reception area, ensuring it remains clean, organized, professional, and welcoming.
- Maintain confidentiality and exercise sound judgment when handling employee and company information.
- Proactively identify upcoming needs, deadlines, and potential issues and address them before they become problems.
- Maintain a highly organized system for tracking tasks, orders, event details, deadlines, employee communications, and administrative responsibilities.
- Perform other administrative and HR-related duties as assigned.
QUALIFICATIONS
- Demonstrated work experience in a receptionist, administrative, HR, office coordination, event coordination, hospitality, or similar role.
- Demonstrated ability to interact professionally and effectively with employees, leadership, vendors, visitors, and the general public.
- Experience coordinating catering, food orders, vendors, supplies, deliveries, setup, and event logistics is strongly preferred.
- Demonstrated ability to multitask, prioritize competing deadlines, and manage a high volume of administrative responsibilities.
- Strong ability to order food, supplies, and services while maintaining accuracy, timeliness, and cost awareness.
- Strong MS Word, Excel, and Outlook experience.
- Excellent written and verbal communication skills and professional interpersonal skills.
- Ability to maintain confidentiality and handle sensitive employee information appropriately.
- Ability to work a flexible schedule and overtime as needed.
