Description
The Administrative Assistant in the Campus Ministry Office of Father Ryan High School provides clerical support for faith formation programs, student retreats, and Campus Ministry events, as well as administrative support for day-to-day operations of the office.
Primary Roles
- Support the Campus Ministry team and the school's mission to be an experience of the living Gospel while challenging students to reach their spiritual, academic, and personal potential.
- Act as a liaison between the Campus Ministry office and students, parents, staff, and local parish and Diocesan leaders.
- Provide relational ministry with students who choose to spend time in the Campus Ministry office.
- Manage day-to-day office tasks to keep department programs running smoothly.
Key Responsibilities
- Event & Liturgy Coordination: Help set up school Masses, prayer services, Penance services, service days, retreats.
- Student Service Events: Work with Coordinator of Service Learning on Relay for Life Event, Christmas Eve Room in the Inn overnight dinner event, assist with Service Fair and other on-campus service events.
- Penance Service Coordination: Work with priests of the Diocese in scheduling school wide Advent and Lenten Penance Services for students.
- Supplies & Finances: Procure Campus ministry and Chapel supplies, manage inventory, and approve invoices.
- Scheduling: Maintain chapel calendar for spiritual events and Mass intentions.
- Senior Event Coordination: Help with planning and logistics for spring Almost Alumni Day and Senior Class Baccalaureate Mass.
- Diocese Youth Group Events: Coordinate with local Catholic church youth group directors to plan student luncheons on campus.
- Catholic Schools Week Events: Work with Director of Campus Ministry and Director of Houses to celebrate Catholic Schools Week
- Extracurricular Events: Assistance required at select student ball games, tailgates and some extracurricular events.
- Faith and Service Trip Management: Book lodging and travel, create itineraries, coordinate with 3rd parties, communication with stakeholders, procure supplies and food.
Requirements
Qualifications
- Faith and Values: Practicing Catholic in good standing who supports the teachings and mission of the Church.
- Education: High school diploma required; an associate or bachelor's degree is preferred.
- Experience: Prior administrative or secretarial experience, ideally in a school or parish setting. Experience working with children/teens is preferable.
- Skills: Strong computer literacy, including Microsoft Office (Word, Excel) plus great communication and organizational skills. We are looking for a self-motivated, flexible, friendly individual who can work in a fast-paced and energetic environment.
- Willingness to learn new systems, such as BlackBaud, Brightly event management software, Monday workflow management software, and other work-related systems.

· This position is a student-services role. Duties apply when students are in school and on-campus.
· Compensation is based on an hourly rate. Typical school hours are 7:30am-3:30pm, but some work outside of these hours is required.
· Benefits are included in this role, i.e. health insurance, disability insurance, 403(b) retirement accounts, etc.
· This position will also serve as a staff Mentor through our House System.
· Other duties as assigned:
o Attend Faculty Meetings (monthly)
o Other staff duties as assigned
o Campus Ministry does assist with some special Masses on the weekends, such as the Kevin Paul Davis Scholarship Mass and the Golden Grad Mass. The Administrative Assistant does attend these weekend events.
