The Police Department is recruiting for the position of Secretary to the Chief of Police. This is an exciting opportunity open exclusively to current, full-time employees. - Perform a variety of routine tasks including accurate typing, proofreading, spelling, grammar, filing, editing, and operation of word processing and other automated systems.
- Compose routine correspondence not requiring the personal attention of supervisory personnel.
- Provides customer service to internal and external customers, including the Police Management, Police employees and other City departments.
- Develops, maintains and updates departmental electronic and paper records, files, and databases.
- Participate and assist in the administration of a department through the handling of routine personnel/timecard, budget, purchasing duties, and preparation of comprehensive reports as assigned.
- Recommend organization or procedural changes affecting clerical support activities.
- Initiate and maintain a variety of files and recordkeeping systems as related to department operations.
- Maintain manuals and update resource materials.
- Schedule appointments and arrange travel, conferences, and meetings for assigned staff; supervise, train, and evaluate subordinates as assigned.
- Perform other related duties as assigned.
- Modern office methods, procedures and techniques.
- Correct English usage, spelling, grammar, and punctuation.
- Effective public relations skills.
- Proficient in Microsoft Office (Word, Excel and Outlook).
- Procedures and basic functions and organization of municipal government.
- Basic principles of supervision and training.
Ability to:
- Communicate clearly and concisely, both orally and in writing.
- Type accurately at a speed of 60 words per minute.
- Efficiently operate a variety of office equipment, including a personal computer using Windows-based software.
- Understand and follow both oral and written instructions.
- Apply accurate English usage, spelling, grammar, and punctuation to written materials.
- Proofread typed materials.
- Establish and maintain cooperative and effective work relationships with those contacted in the performance of duties.
- Compose and prepare routine correspondence independently.
- Learn and understand the organization of the City and department operation goals and objectives, including related outside public and private agencies as necessary to assume assigned responsibilities.
- Learn, understand, interpret and apply department policies, procedures, organization and operating details.
- Plan, organize, and schedule priorities.
- Exercise appropriate judgment, initiative, tact, courtesy and discretion in dealing with confidential and/or sensitive matters.
- Work independently with minimal supervision.
- Analyze situations carefully and adopt effective courses of action.
Experience and Education:
Four years of increasingly responsible secretarial/administrative support experience, including experience in a lead position and a high school diploma or G.E.D.
