The Application Review Specialist plays a vital role in supporting student access and success by managing complex admissions processes, providing exceptional customer service, and ensuring compliance with state, federal, and university regulations. This position serves as a key resource for prospective and current students, families, faculty, and staff while contributing to the efficiency and integrity of admissions operations. The specialist exercises independent judgment, coordinates across multiple university departments, and helps guide applicants from inquiry through admission.
This position offers a unique opportunity to make a direct impact on the student experience while developing expertise in admissions, residency policy, enrollment operations, and higher education administration. The successful candidate will enjoy a dynamic, collaborative environment that combines problem-solving, student support, process improvement, and meaningful decision-making responsibilities.
Key Job Responsibilities:
Residency, Reciprocity & Appeals
- Manage and assist with residency, reciprocity, and residency appeal processes in accordance with state regulations and university policies.
- Advise students, families, and campus partners regarding eligibility requirements and application procedures.
- Maintain records, communicate decisions, and support compliance and reporting activities.
Application Processing
- Initiate the processing of undergraduate admission applications and related transactions.
- Monitor workflow, identify processing issues, and provide support to staff.
- Contribute to process improvements that enhance efficiency and service.
- Identify and research potential fraudulent applications.
Re-Entry and Non- Degree Student Admissions
- Review and evaluate applications from returning students.
- Coordinate admissions decisions, applicant communications, and related records management.
Student Services & Administrative Support
- Provide exceptional customer service to students, families, faculty, staff, and visitors.
- Collaborate across campus to resolve student issues and support enrollment goals.
- Assist with training, operational projects, and continuous improvement initiatives.
- Perform other duties as assigned.
International, ESL (Back-up)
- Ensure compliance with applicable university, state, and federal requirements.
- Provide back up review and process of international, ESL prospect students.
Department:
The Admissions Office is responsible for recruiting and admitting students. The office hosts formal tours for prospective students and oversees the processing of undergraduate and graduate applications and transfer credits. Prospective students can apply directly to UW-Stout Polytechnic through the Universities of Wisconsin website or the Common Application.

Compensation:
Minimum starting salary of $18.50, commensurate with qualifications and experience.
A six-month probationary period is required

Required Qualifications:
- High school diploma or equivalent.
- Two years of customer service, administrative, clerical, data entry, or related experience; postsecondary education may substitute for experience.
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Effective written, verbal, and interpersonal communication skills.
- Experience using computer applications, databases, and Microsoft Office products.
- Ability to learn and apply policies, procedures, and technology systems.
Preferred Qualifications:
- Associate’s degree.
- Experience in higher education, admissions, student services, customer service, or a related field.
- Experience working with student information systems, CRM platforms, or other database systems.
- Experience reviewing information for accuracy and completeness.
- Experience handling confidential information and maintaining accurate records.

Employment is contingent upon the final candidate’s completing a criminal background check and being cleared to work by the Human Resources Office.
