Rental Parts Specialist

Overview

Stewart & Stevenson is Now Hiring a Parts Specialist at 1631 Chalk Hill Road Dallas, TX 75212.

 

The Parts Specialist supports the Rental Division by managing parts research, ordering, receiving, inventory control, and parts distribution for rental equipment service, repair, and maintenance operations. This position works closely with service technicians, rental administrators, and vendors to ensure the correct parts are available when needed to maximize equipment uptime, rental readiness, and customer satisfaction.

Responsibilities

• Research, identify, quote, and order parts for generators, air compressors, engines, electrical components, filters, belts, hoses, fittings, fuel system components, cooling system parts, and related rental equipment.
• Support internal service technicians by locating parts needed for scheduled maintenance, breakdown repairs, inspections, and make-ready work.
• Process parts requests received by phone, email, walk-in, work order, or business system and communicate availability, pricing, and estimated delivery timelines.
• Maintain accurate parts inventory levels, stocking critical maintenance and repair items needed to support rental fleet uptime.
• Receive incoming parts shipments, verify quantities and condition, label and stock items properly, and resolve discrepancies with vendors or carriers.
• Issue parts to work orders, rental units, service trucks, or technicians while maintaining accurate transaction records.
• Track backorders, special orders, warranty parts, cores, and returns to ensure timely completion and proper documentation.
• Coordinate with vendors, OEM suppliers, approved distributors, national account partners, and internal procurement teams to source quality parts at the best total cost while meeting service timelines.
• Leverage distributor price breaks, volume discounts, rebate programs, preferred vendor agreements, and national account pricing to reduce parts cost without compromising quality, availability, or equipment reliability.
• Monitor purchasing trends and frequently used part numbers to identify opportunities for stocking programs, bulk purchases, standardized parts, and improved vendor pricing.
• Compare local availability, freight cost, lead time, warranty support, and national account terms when selecting suppliers for urgent and planned parts purchases.
• Conduct cycle counts, inventory audits, bin organization, obsolete stock review, and efforts to reduce shrinkage or excess inventory.
• Maintain a clean, safe, and organized parts room/ warehouse area.
• Support shipping and receiving duties including packaging parts, preparing shipments, loading and unloading deliveries, and operating material-handling equipment when authorized.
• Provide professional customer service to internal and external customers while supporting division productivity, safety, and rental readiness goals.

Qualifications

 

• High school diploma or GED required.
• Previous parts, warehouse, service, rental, automotive, industrial equipment, generator, compressor, or heavy equipment experience preferred.
• Basic mechanical aptitude and ability to understand parts diagrams, manuals, exploded views, and service documentation.
• Ability to use computers, email, inventory systems, work order systems, vendor portals, and Microsoft Office applications.
• Strong organizational skills with close attention to detail and accuracy.
• Ability to prioritize multiple requests in a fast-paced service and rental environment.
• Basic math skills for pricing, quantities, measurements, tax, freight, margins, and totals.
• Ability to evaluate quotes, compare vendor pricing, understand distributor discount structures, and recognize opportunities to use national account programs.
• Effective communication skills with technicians, customers, vendors, and management.
• Valid driver’s license required.
• Forklift certification or ability to become certified required.

Preferred Knowledge and Skills

• Familiarity with diesel engines, portable generators, towable air compressors, aftertreatment systems, batteries, starters, alternators, filters, and common rental equipment service parts.
• Experience working with OEM parts catalogs and vendor lookup systems.
• Understanding of preventive maintenance schedules and common rental fleet repair cycles.
• Knowledge of inventory control practices including min/max levels, reorder points, cycle counting, and core tracking.
• Understanding of purchasing controls, preferred vendor programs, price breaks, bulk-buy opportunities, rebate tracking, national account utilization, and cost-savings documentation.
• Ability to read service manuals, serial number plates, model information, and equipment build sheets to identify correct parts.

Physical Requirements and Work Environment

• Ability to lift, carry, push, or pull parts and materials up to 50 pounds as needed.
• Ability to stand, walk, bend, reach, climb, and work in warehouse, shop, yard, and parts counter environments.
• May work in non-climate-controlled areas and around rental equipment, service vehicles, forklifts, and shop operations.
• Must follow all company safety policies and wear required personal protective equipment, including safety shoes, eye protection, gloves, and high-visibility apparel when required.

• Track and communicate measurable savings generated through distributor price breaks, national account pricing, vendor consolidation, and improved inventory planning.
• Demonstrate safe work habits, professional conduct, and dependable attendance.
• Contribute to a clean, organized, and efficient parts operation that supports customer service and equipment availability.
