Job Summary

The Technical Facilities Manager is responsible for overseeing the operational performance, maintenance, and technical compliance of assigned facilities. This role ensures building systems operate efficiently, safely, and in accordance with regulatory requirements while delivering exceptional service to occupants and clients. The position requires strong technical expertise in building systems, leadership capabilities, and the ability to manage complex facility operations.

Key Responsibilities

Facility Operations Management

  • Oversee day-to-day technical operations of building systems including HVAC, electrical, plumbing, fire safety, security, and building automation systems.
  • Ensure optimal system performance, energy efficiency, and occupant comfort.
  • Develop and implement preventive maintenance programs to maximize equipment reliability and lifespan.
  • Monitor building performance metrics and implement continuous improvement initiatives.

Team Leadership and Development

  • Lead and develop a team of technicians, engineers, and maintenance staff.
  • Provide technical guidance, coaching, and performance management.
  • Foster a culture of safety, accountability, and service excellence.
  • Coordinate work assignments and resource allocation to meet operational demands.

Compliance and Risk Management

  • Ensure compliance with all applicable building codes, safety regulations, environmental standards, and corporate policies.
  • Conduct regular inspections and audits of building systems and operations.
  • Maintain accurate documentation of maintenance activities, inspections, and regulatory compliance.
  • Identify and mitigate operational risks and safety hazards.

 

Vendor and Contract Management

  • Manage relationships with service contractors, vendors, and equipment suppliers.
  • Oversee contract performance, quality standards, and service level agreements.
  • Negotiate service agreements and evaluate vendor performance.
  • Ensure cost-effective procurement of materials and services.

Budget and Financial Management

  • Develop and manage operational and capital budgets for assigned facilities.
  • Monitor expenditures and identify cost optimization opportunities.
  • Prepare financial reports and forecasts.
  • Justify capital improvement recommendations with business case analyses.

Client and Stakeholder Relations

  • Serve as primary technical point of contact for clients and building occupants.
  • Respond to service requests and resolve facility-related issues promptly.
  • Communicate proactively about planned maintenance activities and system performance.
  • Build strong relationships that enhance client satisfaction and retention.

Project Management

  • Plan and execute capital improvement projects, system upgrades, and major maintenance initiatives.
  • Coordinate with internal teams, contractors, and stakeholders throughout project lifecycle.
  • Ensure projects are completed on time, within budget, and to quality standards.

Qualifications

Education and Experience

  • Bachelor's degree in Engineering, Facilities Management, or related technical field, or equivalent combination of education and experience.
  • Minimum 7-10 years of progressive experience in facilities management or building engineering.
  • At least 3-5 years in a supervisory or management role.

Technical Expertise

  • Comprehensive knowledge of building systems including HVAC, electrical distribution, plumbing, fire safety, and building automation.
  • Understanding of energy management principles and sustainability practices.
  • Familiarity with computerized maintenance management systems (CMMS).
  • Strong analytical and problem-solving abilities.

Certifications and Licenses (Preferred)

  • Professional Engineer (PE) license, Certified Facility Manager (CFM), or equivalent professional certification.
  • Relevant trade certifications (EPA Universal, electrical, HVAC, etc.).

 

Leadership and Communication

  • Proven ability to lead, motivate, and develop technical teams.
  • Excellent verbal and written communication skills.
  • Strong customer service orientation.
  • Ability to interact effectively with all organizational levels.

Additional Competencies

  • Strong organizational and time management skills.
  • Proficiency with Microsoft Office Suite and facility management software.
  • Ability to work independently and make sound decisions under pressure.
  • Flexibility to respond to emergencies outside standard business hours.

Working Conditions

  • This position requires regular presence at assigned facility locations. Physical demands include walking extensive distances, climbing stairs and ladders, and working in mechanical spaces. May require occasional weekend or after-hours work for emergencies or planned maintenance activities. Valid driver's license may be required depending on portfolio configuration.
