The Role: Customer Service and Inventory Specialist
A great opportunity has become available for a Customer Service and Inventory Specialist to join Baxter at our Christchurch site (Wigram) on a 12-month fixed-term contract.
Reporting to site Team Leader, the main purpose of this position is to ensure accurate and timely processing of documentation in conjunction with customer service, clerical support, and duties to ensure efficient stock availability for production demands.
Hours: 9:00 am – 5:30 pm
Your key responsibilities will include:
Manage the receipt and processing of customer orders.
Check orders for completeness – legibility/ patient details/ drugs/ diluents/ delivery details etc. Clarifying details with customer if any aspects of the order are unclear
Complying with regulatory requirements of GMP and EH&S.
Working with staff and couriers to track on time delivery of orders to key customers.
Liaising with customers regarding order, dispatch, and account enquiries.
Assist in capturing customer complaint reports regarding product, delivery and service issues and raising credits/debits when required.
Use of standard computerised programs such as MS Word, Excel, and Access to provide clerical support and maintain information databases.
Drafting public holiday customer letters
Raising purchase orders and receipting invoices into procurement system
Receiving and moving inventory into computerised systems
Assisting with stock counts to ensure accurate and completed on time.
Co-ordinating dispatch and transport of goods
Other duties as required
Essential Skills & Qualifications
Professional and pleasant verbal skills required for telephone communication with customers.
Good written communication with high attention to detail with the ability to work autonomously
Ability to demonstrate compassion and empathy
Experience working in a similar role within a fast-paced environment, preferably the Healthcare/Medical industry.
Ability to manage your time, work under pressure and meet deadlines
Take initiative and be adaptable to change
Operational hours are Monday to Friday between 7:30am - 6:00pm. Flexibility with hours is required along with the chance of overtime.
