Job Description
This role will serve as a trusted executive assistant to the CTO BX India, enabling effective leadership support, seamless coordination across global stakeholders, and operational momentum as the India technology office continues to scale. Key responsibilities include:
Executive calendar and meeting management: Manage complex calendars, prioritize internal and external meetings, coordinate with other assistants, and ensure the CTO India is prepared for weekly, monthly, and leadership forums.
Travel, logistics, and expense execution: Coordinate domestic and global travel, visas, transport, hotels, itineraries, trip packets, travel trackers, and detailed expense submissions with high accuracy and discretion.
India office ramp-up and hiring coordination: Support hiring logistics, interview scheduling, candidate coordination, and onboarding-related scheduling as the India technology office continues to expand.
Cross-divisional collaboration: Liaise with other divisions, leadership teams, and administrative partners across the firm to support scheduling, follow-ups, projects, and firmwide coordination.
High-profile visitor management: Coordinate conference rooms, visitor registration, guest reception, local logistics, and meeting readiness for senior leaders, external guests, and high-profile visitors to the India office.
India technology communications support: Assist with communications, meeting materials, follow-ups, and coordination that help keep India technology priorities clear, timely, and well organized.
Global administrative partnership: Build strong relationships with global administrative colleagues to enable effective handoffs, consistent execution, and seamless support across time zones.
General executive support: Answer and screen calls, act as a professional gatekeeper, maintain files, provide backup support for senior professionals, and execute ad hoc projects with strong follow-through.
Qualifications

The successful candidate will bring strong judgment, discretion, operational discipline, and experience supporting senior leaders in a fast-paced, global environment.
3+ years of administrative or executive assistant experience supporting senior leaders, preferably in financial services or another high-performance professional environment.
Strong written and verbal communication skills, with sound judgment in supporting senior-level communications, follow-ups, and stakeholder coordination.
High degree of confidentiality, professional integrity, discretion, and professionalism when handling sensitive information and senior stakeholder interactions.
Proactive, collaborative style with a demonstrated track record of building trusted relationships across global administrative partners, cross-divisional teams, and external visitors.
Exceptional organization, attention to detail, follow-through, and skill in managing competing priorities with urgency and accuracy.
Strong Microsoft Office skills, particularly Outlook, Excel, and PowerPoint; experience with Concur and Amex Travel is preferred.
