Job Summary:The HR Coordinator is responsible for providing comprehensive clerical and administrative support to the Human Resources department. This role manages a variety of office functions, including employee records, phone and evacuation lists, bulletin boards, and coordination of mail and packages. The coordinator periodically supports benefits, recruiting, employee engagement, and administrative activities through tasks such as filing, document editing, database upkeep, and communication with staff.

Responsibilities

  • Handles all clerical and administrative workloads of the department, including, but not limited to: Full-time employee filing, maintaining HR office phone and evacuation lists, updating bulletin boards and job board; coordinating lost and found with Support Services department, receiving and distributing mail and packages.
  • Provides periodic assistance for Benefits, Recruiting, Employee Engagement, and Administration. This will include filing, stuffing envelopes, compiling manuals, editing documents, maintaining files and databases, communicating with park employees, and interviewing as needed.
  • Interacts with all departments and assists all department managers, including but not limited to: National Park Service personnel, the Corporate Office, and the general public.
  • Functions as HR receptionist, greeting and directing visitors; taking messages, forwarding to voice-mail, or answering requests when possible; overseeing mail distribution, both in-coming and out-going; assisting employees and/or applicants with online applications, onboarding, and/or transfer processes utilizing shared office computer or personal devices. Generating and distributing documentation or referring to appropriate resources to obtain (residency letters, employment verifications, etc.)
  • Oversees operational needs of the HR Office, including assessment and procurement of office equipment, office systems, office supplies, including print shop orders, and office furniture. Performs routine office inspections, completes requests for periodic maintenance, submits service requests, and makes suggestions and arrangements for upgrades. Maintains inventory levels and orders office supplies regularly.
  • Coordinates purchasing for the HR office as needed: complete research on products and systems, obtain pricing and bids, prepare purchase orders, track, receive, and file all HR department purchase orders and support documentation; prepare expense reports as needed.
  • Acts as a liaison with other Xanterra properties’ HR offices and Yellowstone field HR offices to coordinate property to property transfers, and other employee issues.
  • Functions as HR representative for the Safety Committee, attending meetings and reporting back to Gardiner HR team. Creates and coordinates safety tailgates for the Gardiner HR office twice per month.
  • Organizes and coordinates special functions including, but not limited to: food drive, 20+ party, staff and guest Christmas ornaments, HR functions, and department meetings.
  • Assists with updating and posting state (MT and WY) labor law posters in all locations, park wide.
  • Assists as needed during employee check-ins.
  • Processes checkouts as needed.
  • Receives and screens Employee Recognition nominations for Gardiner location and sends out winner announcements.
  • Confirms park-wide Employee Recognition winners for prize distribution.
  • Executes distribution of Employee and Manager of the Month recognition gifts and bonuses. 
  • WOTC (Work Opportunity Tax Credit) coordination and follow-up
  • Other duties as assigned 

Qualifications

  • General business communication skills - related to telephone and email etiquette professional coworker/employee interaction and written correspondence.
  • Strong interpersonal communication skills. Especially in regards to dealing with potential employees current employees and coworkers tactfully and professionally.
  • Ability to exercise patience while working with a variety of personalities.
  • Basic business administration skills - typing, filing, use of office equipment.
  • Possess a proactive approach to accomplishing work in an efficient manner while ensuring a strong attention to detail.
  • In-depth knowledge or ability to quickly learn park housing facilities, company procedures, and departmental procedures
  • Flexibility; able to adjust to changing needs and work pace of the office at different times of the year.
  • Knowledge or ability to learn the ICIMS applicant tracking system and Lawson data system.
  • Ability to maintain confidentiality with employee information
  • Computer skills, knowledge of Microsoft Word, Outlook and Excel required.

 

Physical Requirements include:

 

  • Ability to stand, bend and stretch for long periods, as when filing.
  • Ability to lift and move items weighing up to 25 pounds.
  • Ability to sit for long periods of time, as when answering phones, doing computer work or processing new employees, sometimes up to five hours.
