Description
What's the role?
We are looking for a motivated and experienced Executive Assistant to support multiple senior leaders within our The Australian and Prestige and metro mastheads, based in Surry Hills.
This is a role for someone who thrives in a fast paced, changeable environment. You'll be a trusted partner to our senior leaders, helping keep priorities on track, managing the day-to-day moving parts, and ensuring everything runs smoothly behind the scenes. No two days are the same and you will play a key role in keeping a busy leadership team organised, connected, and focused on what
matters most.
You will be supporting:
- GM Commercial and Commercial Editor, The Australian & Prestige
- GM Marketing, Audience & Digital Development, The Australian & Prestige
- GM Subscriber Data, Platforms & Growth, State and Communities
You will partner closely with senior leaders in a critical part of the business, enabling strategic and commercial outcomes and keeping a fast-paced management team running smoothly. This is a permanent, full-time on site position based in Sydney.
Main Responsibilities
- Calendar & Priority Management: Own complex diary management across international time zones; proactively resolve scheduling conflicts and coordinate high-impact meetings for direct reports and key stakeholders.
- Travel & Itineraries: End-to-end coordination of domestic and international travel, including flights, accommodation, ground transfers, and detailed travel itineraries.
- Stakeholder Relations & Communication: Act as a primary point of contact for internal and external queries with high discretion; foster strong relationships across the business and broader EA network to drive efficient decision-making and information flow.
- Financial & Expense Administration: Proactively oversee financial approval requests and accurately reconcile expenses and invoices in compliance with company standards.
- Event Planning & Marketing Support: Support end-to-end delivery of member and commercial events (including offsites, roundtables, client dinners, and major conferences); manage guest lists, RSVPs, briefing materials, event logistics, collateral, and marketing communications.
- Document & Meeting Preparation: Draft meeting agendas, take notes, and create professional presentations and documents.
- General Administrative Support: Oversee day-to-day administrative functions to ensure seamless operation across the broader team and handle incoming inbox correspondence.
Who are you?
- You have a proven track record supporting C-suite and senior leaders within complex, fast-paced organisations—ideally in media, marketing, or commercial sectors.
- You thrive in dynamic environments where priorities shift quickly; you naturally anticipate needs and take initiative before being asked.
- You interact with confidence, professionalism, and strict discretion across all levels, whether managing sensitive conversations or coordinating internal and external stakeholders.
- You build strong, approachable working relationships across the business and actively engage with the broader EA network.
- You are proficient in Microsoft Office and Google Workspace, with a natural curiosity to learn and adopt new tools and processes.
- You keep your finger on the pulse of the local dining scene and can confidently recommend great restaurants for hosting clients and external partners.
