Duties, Responsibilities & Other
As the KCI’s Real Estate Leasing Manager, a successful candidate will be responsible to lead the organization through the entire office space leasing process lifecycle from identification of space need through executed lease and ultimate termination. This role will be responsible to maintain and monitor all company building leases throughout the United States (90+) for expiration, renewal, relocation and termination and engage with local landlords and brokers as necessary to full-fill the needs of the corporation. This will include interaction and use with multiple databases (Microsoft, Yardi, ERP, DocuSign), assist in the development of business cases, performing property research and analysis, coordination with internal and external partners to negotiate leases that meet target terms. Management and reporting of lease real estate activities, establishment and monitoring of budgets and working with brokers, interior designers and vendors are all required to establish successful lease lifecycles. A background in commercial real estate and or legal contract review is required as reviewing and evaluating commercial real estate leasing is required.
This role requires people who are self-managed and task oriented and able to handle multiple tasks concurrently. Flexibility in daily tasks are available as assistance with various office facilities may require engagement with vendors and or physical activity to help keep office facilities operating.
Essential Duties and Responsibilities*:
- Work with business and shared services units to identify leased real estate needs; evaluate and process real estate adjustment requests.
- Prepare comprehensive budget sheets and budget approval memos.
- Support business and administrative units in all aspects of leased real estate transactions and operations.
- Monitor lease expirations and contractual requirements; coordinate require action throughout company.
- Engage the business unit and brokers to investigate potential real estate lease options that align with business objectives.
- Review lease drafts, landlord revisions, renewal options and termination clauses in collaboration with legal counsel.
- Manage the completion of location opening, closing checklists for office terminations.
- Engage local brokerages to assist with market analyses and site selection.
- Develop and issue RFPs; negotiate LOIs, including lease terms, concessions and options.
- Process and provide COIs as necessary.
- Capture capital expense office specific requests made and forward to Safety officer.
- Track individual service contracts by office location.
- Process checks requests for lease transactions.
- Maintain tracking of approved capital budget.
- Verify space planning requirements and proposed layouts for alignment with operational or business needs.
- Develop, distribute and analyze the annual office manager survey questions and resulting data.
- Establish and maintain budget benchmarks per employee and per square foot to inform annual planning.
- Lead the coordination process to onboard/offboard real estate:
- Internal processing, signoff
- External coordination with utilities, outside vendors, internal partners to move staff/operations
- Review new/existing leases to identify business terms
- Summarize business terms for presentations to business and administrative units
- Draft internal approval memos outlining planned or proposed real estate transactions
- Report, track, monitor financial costs associated with new office locations, relocations, expansions
- Facilitate interdepartmental communication
- Visit various office locations to support the planning, design and execution of leased real estate transactions.
- Coordinates and assists with upkeep of the facilities as needed

Qualifications
Education and/or Work Experience Required:
- Bachelor’s degree in Business Administration or a related field
- 3 years of commercial real estate document review
- 5 years of office administration may be considered in lieu of a bachelor’s degree
Certificates, licenses, and/or Registration Required:
- Current or past Real Estate License
Certificates, licenses, and/or Registration Preferred:
- PMP Certification is preferred
