NAYA Family Center is looking for a dependable, welcoming, and community-minded Community Reception Coordinator in an on-call capacity. This role supports our front office when regular reception coverage is unavailable. As one of the first points of contact for NAYA, you’ll help create a warm, respectful, and inclusive experience for community members, visitors, and staff.
You’ll provide day-to-day reception and administrative support, including greeting visitors, answering a high-volume multi-line phone system, responding to email and in-person inquiries, directing community members to the appropriate staff and services, and supporting conference room reservations. You’ll also help with mail and packages, office logs, and other activities that keep the front office running smoothly.
This role is especially important when community members are navigating difficult circumstances or contacting NAYA while in distress. You’ll use strong communication, active listening, and sound judgment to respond professionally and compassionately while providing accurate information about NAYA’s programs and services. This is an intermittent, on-call position with a rate of $25.00 per hour.
Who You Are
- You have a high school diploma or equivalent; an Associate’s degree is preferred.
- You have at least three years of demonstrated experience in customer service, administrative office work, and managing phone lines.
- You have excellent interpersonal, organizational, verbal, and written communication skills.
- You are dependable, punctual, responsible, and comfortable working independently while also being part of a team.
- You can navigate a variety of people and situations with professionalism, empathy, and sound judgment.
- You have strong active listening skills and experience communicating with people from diverse backgrounds.
- You have knowledge of Native American history, the diversity of the local American Indian/Alaska Native community, and issues affecting the Urban Indian experience.
- You have knowledge of local community resources, emergency services, and social service agencies, particularly those serving low-income and ethnically diverse communities.
- Experience working with urban or reservation Native American communities, including within a tribe, board, or other Native organization, is strongly preferred.
- You are comfortable using computers for web research, word processing, Excel, databases, and email.
- You hold, or can obtain and maintain, certifications in CPR, First Aid, AED, and Non-Violent Crisis Prevention.
What You'll Do
- Welcome staff, clients, community members, and visitors with warmth, respect, and professionalism.
- Serve as a positive and knowledgeable representative of NAYA, providing accurate information and connecting visitors and community members with the appropriate staff and services.
- Answer and manage a high-volume, multi-line telephone system with professionalism and care, including calls from individuals who may be experiencing distress or crisis.
- Provide responsive customer service and communication through telephone, email, and in-person interactions.
- Monitor and assist with conference room reservations.
- Process incoming and outgoing mail and packages.
- Maintain office logs and records, including vehicle check-out logs.
- Follow NAYA’s safety procedures and contribute to a safe, secure, and inclusive environment.
- Maintain confidentiality and represent NAYA with professionalism at community events and other public-facing activities.
- Participate in cross-departmental projects, trainings, and meetings as needed.
- Support other front office and organizational needs as assigned by the Community Reception Manager.
