We’re looking for a Bilingual Client Specialist who is fluent in both English and Spanish, enjoys connecting with people, and is passionate about helping others! The ideal candidate is an excellent communicator, detail-oriented, organized, and comfortable balancing multiple priorities in a fast-paced environment.

In this role, you'll be an important connection between our Spanish-speaking clients and their tax resolution teams, helping ensure clients feel supported, informed, and understood throughout the process of resolving their tax issues.

Schedule: Monday–Friday, 8:00 a.m.–5:00 p.m. This is an in-office position at our Norman, Oklahoma location and is not a remote position. Schedule adjustments may be made with management approval based on business needs. Unauthorized overtime is not permitted.

Polston Tax Resolution & Accounting was founded in 2001 with the mission of helping people escape the nightmare of owing back taxes.  Today, our firm helps individuals and businesses resolve tax problems with the IRS and state taxing authorities while also providing full-service tax preparation, bookkeeping, and accounting services.

Our team of tax attorneys, CPAs, enrolled agents, and other professionals works together to help clients navigate complex tax situations and achieve lasting solutions.

What Will You Do?

As a Bilingual Client Specialist, you'll serve as a primary point of contact for clients and provide essential communication support to our attorneys, accountants, and case managers. A significant part of your role will involve helping our Spanish-speaking clients navigate the tax resolution process by providing accurate, professional interpretation and translation services.

Key Responsibilities:

  • Provide English/Spanish interpretation during initial client consultations, meetings, and phone conversations between Spanish-speaking clients and our team members.
  • Facilitate ongoing communication between Spanish-speaking clients and their attorneys, accountants, case managers, and other team members throughout the duration of their cases.
  • Translate and clearly communicate case updates, document requests, next steps, deadlines, and other important information to Spanish-speaking clients.
  • Assist with translating written communications, emails, and client-facing documents between English and Spanish as needed.
  • Help ensure Spanish-speaking clients understand the information being communicated and can effectively ask questions and provide information to their case teams.
  • Communicate with current and prospective clients regarding the firm's services through in-person interactions, phone calls, and email.
  • Assist attorneys, accountants, and case managers with client communication and administrative support.
  • Prepare administrative documents as directed.
  • Maintain company schedules, client records, and caller databases.
  • Maintain and update complex spreadsheets with a high level of accuracy and attention to detail.
  • Document client interactions, case updates, and communication notes in internal case management software.
  • Maintain professionalism, confidentiality, and accuracy when handling sensitive client and financial information.
  • Perform other job-related duties as assigned.

This position requires strong communication skills and the ability to accurately convey important information between English-speaking team members and Spanish-speaking clients.

Required Qualifications:

  • Fluency in both English and Spanish is required, including the ability to speak, read, and write professionally in both languages.
  • Ability to accurately interpret conversations between English and Spanish in real time, including during client consultations, phone calls, and meetings.
  • Ability to translate written communications and explain complex information clearly and accurately in both languages.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills, professionalism, and a customer-service-oriented mindset.
  • Exceptional organizational skills and attention to detail.
  • Ability to manage multiple responsibilities and prioritize tasks based on urgency and importance.
  • Basic computer proficiency, including Microsoft Office, email, and data entry.
  • Ability to maintain confidentiality when handling sensitive financial, legal, and personal information.
  • Strong follow-through and problem-solving skills.
  • Ability to work collaboratively with attorneys, accountants, case managers, and other team members.
  • Positive attitude, strong work ethic, and willingness to learn.
  • Reliable transportation and ability to commute to the office and between office locations when needed.
  • Ability to pass satisfactory background and reference checks.

Preferred Qualifications:

  • Previous experience in customer service, client relations, administrative support, or a similar role.
  • Experience providing bilingual interpretation or translation in a professional setting.
  • Familiarity with legal, financial, accounting, or tax-related terminology in both English and Spanish.
  • Experience working with case management software or customer relationship management (CRM) systems.

Previous tax or legal experience is a plus, but not required. We're looking for someone with excellent bilingual communication skills, a willingness to learn, and a genuine desire to help clients.

Work Environment

This position operates in a professional office environment and regularly uses computers, telephones, printers, scanners, and other standard office equipment.

  • Employees are expected to meet established productivity standards while managing      multiple priorities.
  • Work may involve periods of increased activity and pressure, particularly      during tax deadlines and other high-demand periods.
  • The office environment generally has low to moderate noise levels and moderate to bright lighting.
  • Although this is an in-office position, employees may be required to work remotely during temporary office closures due to inclement weather, power outages, or other emergencies when job duties allow. Employees must have access to a suitable computer or device and reliable internet service (minimum 50 Mbps; 100 Mbps recommended).

Physical Demands

The employee in this role:

  • Must be able to remain seated or standing for approximately 50% of the workday.
  • May occasionally move throughout the office to access equipment and perform job-related tasks.
  • Must be able to communicate effectively and accurately in both English and Spanish, verbally and in writing.
  • Must be able to operate standard office equipment, including computers, telephones, printers, and scanners.
  • Must be able to read documents and view computer screens at close range.
  • May occasionally lift or move items weighing up to 20 pounds.
  • May occasionally be required to travel locally for business-related errands.
  • Must be able to maintain the agreed-upon work schedule, including an eight-hour shift with a scheduled one-hour break.
