Job Summary
The Payroll and Workforce Management Systems Analyst serves as the technical and functional expert for payroll, workforce management, timekeeping, scheduling, labor management, productivity, and related enterprise systems. This position is accountable for system administration, configuration support, security design, reporting, analytics, integrations, troubleshooting, testing, and continuous optimization of payroll and workforce management technology solutions.
The Systems Analyst partners with Payroll, Human Resources, Information Technology, operational leaders, and vendors to ensure payroll and workforce management systems support organizational operations, compliance requirements, and strategic objectives. The position represents system ownership, technical problem solving, reporting and analytics expertise, vendor coordination, data integrity, and continuous improvement across payroll and workforce management technology.
Essential Duties and Responsibilities
System Administration and Configuration
• Configure, maintain, and optimize payroll and workforce management systems.
• Maintain business rules, calculations, workflows, accrual structures, scheduling structures, labor rules, and security settings.
• Ensure system configurations align with organizational policies, operational requirements, and payroll processing needs.
• Maintain configuration documentation, system standards, and change records.
• Support system access design, role-based security, and related controls.
Reporting and Analytics
• Develop and maintain payroll, productivity, workforce management, compliance, and labor management reports.
• Create dashboards and analytical tools for leaders and operational teams.
• Analyze payroll, labor, scheduling, productivity, and workforce trends.
• Validate reporting accuracy and data integrity across payroll and workforce management systems.
• Translate business needs into clear reporting requirements and usable analytical tools.
Technical Troubleshooting
• Investigate and resolve complex data, system, configuration, and interface issues.
• Perform root cause analysis and recommend corrective actions.
• Coordinate technical issue resolution with Information Technology, vendors, and operational stakeholders.
• Monitor recurring issues and recommend system or process changes to reduce future errors.
• Support incident management and problem resolution activities.
Integrations and Data Management
• Support interfaces between payroll, workforce management, human resources, finance, and operational systems.
• Validate data transfers and integration functionality.
• Partner with Information Technology on technical infrastructure, data flow, and interface requirements.
• Support implementation of new integrations and technology solutions.
• Assist with data validation, conversion support, and system cleanup activities.
Testing and Change Management
• Lead testing for upgrades, releases, enhancements, patches, configuration changes, and new functionality.
• Develop testing plans, scripts, validation procedures, and testing documentation.
• Coordinate user acceptance testing activities with Payroll, Human Resources, Information Technology, and operational leaders.
• Support production deployment and post-implementation review activities.
• Document testing outcomes, risks, identified issues, and required follow-up actions.
Governance and Vendor Management
• Serve as the primary technical liaison with payroll and workforce management system vendors.
• Maintain technical issue logs, enhancement requests, testing results, and release documentation.
• Participate in governance, prioritization, and roadmap discussions.
• Support long-term workforce management technology planning, stabilization, and optimization.
• Provide technical recommendations to support leadership decision-making.
Strategic Systems Support
• Recommend system enhancements and process improvements that improve accuracy, efficiency, compliance, and user experience.
• Support workforce management stabilization and modernization initiatives.
• Serve as the primary technical resource for payroll and workforce management platforms.
• Provide guidance regarding reporting, analytics, system functionality, and technology utilization.
• Support special projects related to payroll, workforce management, productivity, and system optimization.
Other Duties
• Perform other related duties and special projects as assigned.
Education
• Bachelor degree in Information Systems, Business, Finance, Accounting, Computer Science, or related field; or equivalent combination of education and experience.
Experience
• Minimum three years of payroll systems, workforce management systems, human resources information systems, enterprise resource planning systems, or business systems experience.
• Experience with system configuration, reporting, analytics, testing, troubleshooting, and system implementations.
Preferred Qualifications
• Experience with UKG Workforce Management.
• Experience with Workday Payroll.
• Experience similar workforce management systems.
• Experience supporting healthcare organizations subject to extensive regulatory requirements.
• Experience with system integrations, analytics platforms, business intelligence tools, and database reporting solutions.
• Experience leading testing, release management, implementation, or system stabilization activities.
Knowledge, Skills, and Abilities
• Advanced knowledge of payroll and workforce management systems.
• Strong analytical and problem-solving skills.
• Knowledge of workforce management, scheduling, timekeeping, leave management, productivity, and payroll processes.

• Ability to investigate complex system and data issues and recommend practical solutions.
