The Art@Work Graduate Coordinator will support the administration of the Art@Work Program to make art available in shared spaces within UVA’s academic departments and units. This 6-8 hour weekly role is for the 2026-2027 academic year.

This position is open to being a FWS assignment.

ABOUT ART@WORK:  

The Art@Work program aims to establish a comprehensive and widespread framework to make art by local artists widely available in shared spaces within UVA’s academic departments and units—open offices, conference rooms, corridors, and lobbies. The focus is on purchasing artwork created by local artists—those living in the Charlottesville area, including the city of Charlottesville and the counties of Albemarle, Augusta, Fluvanna, Greene, Louisa, and Nelson—with an emphasis on underrepresented and emerging artists. This includes students, staff, faculty, alumni, and others. This initiative, which adapts the UVA Health Arts Committee model for the academic side of UVA, aligns with the UVA 2030 Strategic Plan’s Key Initiative #5, “Cultivating Staff Success,” and Key Initiative #6, “Good Neighbor Program.” This program is funded by the President’s office – it was one of two winners of the 2025 Hoos Making an Impact competition, recognizing the positive impacts that visual art can have on employee wellbeing, productivity, and creativity. 

The Art@Work Graduate Coordinator  gains experience in arts administration, working  with the core Art@Work team (Andrea Trimble, Director, UVA Office for Sustainability; Holly Robertson, Curator of Exhibitions, UVA Library; Lisa Jevack, Community Relations Manager, The Fralin Art Museum; and Emma Terry, Programs & Communication Director for UVA Arts) and the Art@Work Committee of volunteers who identify and acquire art to be added to a lending library and to select requests from UVA Academic units and departments interested in hosting Art@Work pieces in their staff spaces.  

The Art@Work program is cyclical over the course of the academic year: art is selected and acquired in the Fall; in parallel, Academic Division sites apply to display art pieces for a year. In the Spring, art is matched with site host spaces, then loaned and installed.  

RESPONSIBILITIES:  

  • Supports the Art@Work Committee, which generally meets quarterly: schedules meetings, takes notes, retains records 
  • Works closely with the Art@Work core team to manage the logistics of acquiring (with artist), storing (with Art@Work Core Team), lending (with Art@Work Core Team), moving (with Facilities Management), and installing art (with Facilities Management) 
  • Maintains Art@Work’s lending library of art: works with artists to arrange art deliveries; documents acquired artworks, moves art to Art@Work storage space, drafts site host / loanagreements (from templates), schedules; oversees site installations 
  • Supports Art@Work’s outreach efforts: administers the Art@Work email account; helps to maintain the Art@Work website; assists in the writing and publishing of press releases and announcements; helps to program Art@Work’s Instagram account; takes and delivers images of artworks in situ to the artists.  
  • Supports Art@Work’s finance and procurement operations: monitors budget and spending.   

MODE OF WORK:

The work of the Art@Work PhD Intern is hybrid. Meetings with the Core Team and Art@Work Committee are typically virtual, as are the responsibilities of outreach and finance support. The work of managing the Art@Work lending library and installations are in-person and physical in nature.

QUALIFICATIONS:

REQUIRED:

  • Must be enrolled full-time at the University of Virginia as a graduate student in a masters or Ph.D. program
  • Excellent organizational skills, with an emphasis on notetaking, record-keeping, and scheduling
  • Must be able to work independently and as part of a team
  • Strong communication skills, with experience in written communications and social media
  • Must be able to lift up to 40 lbs • Valid driver's license or willingness to obtain one upon hire.

PREFERRED:

  • Experience in arts administration or working in libraries, archives, museums, or galleries
  • Understanding proper techniques for handling, packing, and storing fine art objects.
  • Familiarity with UVA’s procurement and finance practices

DURATION & COMPENSATION:

This is an hourly role and does not provide tuition remission (or tuition adjustment) or a health insurance subsidy.

Art@Work has funding to support this role for ~6-8 hours per week at $30/hour for the 2026-2027 academic year. Upon successful annual review, there may be an opportunity to renew role for the 2027- 2028 academic year.

LEARNING & MENTORING PLAN: The Art@Work Intern will report to Holly Robertson, Curator of Exhibitions in the UVA Library and other members of the Art@Work core team. We will meet weekly—either to plan work and share updates, or as part of the Art@Work Core team and/or Art@Work Committee. Between meetings, communication via the Art@Work Core team utilizes Microsoft Teams chat and Sharepoint resources.
