Description
The role will report to the Aftersales & Procurement Lead. The Department manages both sales and procurement of goods and services to support the business and therefore the Coordinator will need to be both customer and supplier facing at times as required according to workload priorities.
Responsibilities will include handling aftersales enquiries and related procurement, requests for quotations for spares, workshop, repairs & service. This will include technical review of drawings and specification ensuring compliance and correct supply working with the supply chain to meet the customer demands. In addition, they will be required to process customer orders, carry out commercial and contract reviews with appropriate expediting of supplier orders to ensure we meet delivery commitments in accordance with customers’ requirements, in particular with regard to Time, Quality and Cost.
People
▪ Carry out commercial and risk reviews of customers’ requirements and contractual terms & conditions.
▪ Quote preparation in conjunction with customer and/or supplier RFx and support further with tender preparation using the company business system to ensure data is accurate and available for review.
▪ Full and detailed analysis of customer and part pricing history to ensure quotations are issued in line with Company pricing policy and customer expectation. Working closely with the sales team to understand the exceptions to ensure they are managed within acceptable margins.
▪ Expedite purchased items from all suppliers to meet contract dates, working closely with key stakeholders on any issues that may arise and facilitating contingency planning and appropriate amendments to orders.
Processing customers’ requests for information and quotation using into our company business system.
▪ Sourcing quotations, determination of best price and lead time information to support generation of
sale quotations in line with customer expectations.
▪ Administration of part set up in line with technical requirements on the company’s business system
SMART.
▪ Negotiation with suppliers on price, delivery and commercial terms including the establishment of price breaks against quantities to ensure best cost pricing is always sought and the up to date data is reflected in the company business system.
▪ To assist with dealing with any other day to day office issues, including archiving and filing.
Delivery
▪ Working with Engineering department to support and assist suppliers and customers through: -
o Provision of drawings and specifications
o Clarification of technical and quality requirements
▪ Placing purchase orders in line with Company procedures with pre-agreed and approved terms and
conditions.
▪ Assisting the Supply Chain & Procurement Lead as required with forecast information, regular
maintenance of the Spares Order Backlog and forecasting and follow up of open opportunities.
▪ Identifying gaps or potential weaknesses in the Greenray supply chain and assisting in the evaluation and approval of new and existing suppliers at acceptable costs and to appropriate quality standards in conjunction with quality & engineering.
Required Skills
▪ Good Business understanding – understands key business drivers and business goals, has good
commercial and financial awareness understanding purchase, contract and commercial conditions.
▪ Knowledge of import and export procedures, including the significance of Incoterms®
▪ Product knowledge of Gas Turbine or High-Speed Rotating machinery would be beneficial to the role.
▪ Knowledge of Greenray’s market, drivers and activities would be useful.
▪ Knowledge of Greenray systems and processes would be useful but not essential.
▪ CIPS level 4 or above is a distinct advantage.
▪ Technical experience, ability to understand and interpret drawings and quality requirements obtained
from good experience working in an engineering environment.
▪ Excellent communication and relationship skills, both verbal and written for internal and external
communications with suppliers and customers.
▪ Competent negotiation skills, with an ability to identify solutions and have the confidence to make
recommendations.
▪ Good commercial awareness.
▪ Excellent Customer Service skills. Prioritises effectively and is well organized.
▪ IT skills – good knowledge of Microsoft Excel & Word and ability to work with a business system.
