About this role:
Wells Fargo is seeking an Associate Executive Specialist
In this role, you will:
- Provide a high level of professional support which includes a balance of experienced executive level administrative work, as well, as ongoing ad-hoc project and business initiatives such as planning meetings, tracking deliverables and pulling routine reports
- Perform heavy calendaring, complex travel planning, extensive document creation and editing, and preparing expense report submissions
- Support projects
- Assist with budget planning and compile statistical data for financial planning
- Act as information source on group and company policies
- Receive direction from supervisor and exercise judgement within defined parameters while developing understanding of the Administrative Support function
- Collaborate and consult with peers, colleagues and managers to resolve issues and achieve goals
- Interact with external customers
Required Qualifications:
- 6+ months of Executive Administration experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education

- Significant experience supporting senior executives in a corporate environment.

Job Expectations:

- Review, monitor, and prioritize incoming emails and communications on behalf of the executive.
- Draft, edit, and coordinate responses and executive communications as appropriate.
- Escalate urgent issues and ensure timely follow-up on critical business matters.
- Maintain confidentiality and exercise sound judgment when handling sensitive information.
Business Operations & Stakeholder Coordination
- Partner closely with the BSL and CoS, and leadership teams to support business priorities and operational activities.
Space & Site Management
- Coordinate site and workspace management activities, including seating arrangements, workspace planning, and office logistics.
- Partner with facilities and support teams to address workplace needs and enhance employee experience.
- Support office moves, team expansions, and workspace optimization initiatives.
Events & Leadership Engagement
- Coordinate leadership meetings, town halls, employee engagement activities, recognition events
- Manage end-to-end event logistics, including venue coordination, communications, attendee management, and execution.
- Support leadership visits and executive hosting activities.
Broader Executive Team Support
- Provide administrative support to additional senior leaders as business needs require.
- Serve as a flexible resource during periods of increased workload, organizational change, or special initiatives.
- Take ownership of special projects and stretch assignments that support organizational goals.
The Executive Administrative Assistant serves as a trusted partner to the Wealth & Investment Management (WIM) India Head, providing high-quality administrative, operational, and organizational support. This role requires exceptional judgment, strong organizational skills, attention to detail, and the ability to manage competing priorities in a fast-paced environment.
The successful candidate will act as a key point of coordination between senior leaders, the Chief Operating Officer (COO), Chiefs of Staff (CoS), and other executive stakeholders, ensuring seamless execution of business priorities, communications, events, and day-to-day operations.
