Job Summary

The Grants Accounting Manager role is an integral part of the Accounting team, ensuring the accuracy and integrity of accounting activities, maintaining effective internal controls, and supporting compliance with organizational and funding requirements. The starting salary range for this role is $86,280-$93,782. This is a full-time role with hybrid flexibility role based at KIPP DC Headquarters with an anticipated start date of September 2026.

About the Role
The Grants Accounting Manager is responsible for managing KIPP DC's accounts receivable function, including grant billing, cash receipts, collections, banking deposits, receivable reconciliations, and revenue reporting, while ensuring strong internal controls and compliance with grant and organizational requirements. Working closely with the Development Team, schools, and Finance colleagues, this role serves as a key partner in safeguarding organizational assets, supporting accurate financial reporting, and providing training and guidance on accounts receivable and cash handling processes across the organization.

Location and Type of Work
This is an exempt position and will report to the Director of Revenue and Grants Management. As a headquarters team that is focused on being responsive to our schools and meeting the needs of our students and families, we approach our work in a way that reflects these priorities. This position will generally work independently and not regularly interface with students, families, or school teams.  This position will primarily work from our headquarters office to maintain a connection to their colleagues and foster a sense of cross-functional collaboration. Because of the nature of this position’s work, this role allows for hybrid flexibility and will be required to be onsite 2 days per week.

Responsibilities
The percentages for each key responsibility are estimates, and other duties may be assigned. Flexibility and responsiveness are encouraged to accommodate organizational needs.
 

Grant Accounting & Financial Close (30% of time)

  • Review and post journal entries for the monthly, quarterly, and annual financial close.
  • Record grant funding, donations, and other cash receipts in the accounting system.
  • Reconcile grant activity, supplemental payments, and other grant-related accounts to ensure accuracy and completeness.
  • Perform cash counts, reconcile deposits, and prepare funds for secure transport.
  • Review the Schedule of Net Assets with Donor Restrictions and support grant-related financial reporting.
  • Maintain accurate financial records and supporting documentation for grant transactions.

Grant Financial Management & Reporting (30% of time)

  • Assist with preparing grant budgets during the application process.
  • Assist with tracking of  grant agreements, award amounts, expenditures, and remaining balances for public and private grants.
  • Assist with monitoring grant spending and notify program leaders and the Senior Director of Finance and Grants of unspent funds to support timely utilization.
  • Assist with review grant drawdown requests and supporting documentation through the Enterprise Grants Management System (EGMS).
  • Provide the Development Team with fiscal documentation, including financial statements, expenditures, receipts, and IRS Form 990, to support funder reporting.
  • Lead the preparation and coordination of the annual Medicaid Cost Report by compiling financial data, reconciling supporting schedules, and collaborating with internal stakeholders to ensure accurate and timely submission.

Grant Compliance & Audit Support (20% of time)

  • Assist with the annual financial statement audit and Single Audit, including review of the Schedule of Expenditures of Federal Awards (SEFA).
  • Assist the Medicaid audit by preparing and providing required financial documentation.
  • Provide fiscal documentation for desk audits, monitoring visits, and site inspections.
  • Maintain Sam.gov  and Time and Effort and Federal Programs policy documentation.

Grant Reimbursement Administration (20% of time)

  • Review and submit monthly reimbursement claims for the Meal Program grants. 
  • Review grant reimbursement requests and supporting documentation. 
  • Reconcile supplemental payments and reimbursement activity to ensure timely and accurate receipt of funds.
  • Perform other duties and special projects as assigned.
Requirements & Preferences

Required Qualifications

  • Bachelor’s Degree.
  • Minimum of 5 years of experience in grant management, with a strong understanding of accounting principles.
  • Exceptional verbal, written, and interpersonal communication skills.
  • Strong organizational skills with the ability to manage multiple priorities and collaborate effectively in a fast-paced, team-oriented environment.
  • Demonstrated commitment to KIPP DC’s mission and alignment with key competencies.

Preferred Qualifications

  • CPA (Certified Public Accountant) or CGMS (Certified Grants Management Specialist), or other relevant professional certification.
  • Experience with Federal grants and Medicaid Cost Report.
  • Experience with Workday Financial Management or similar enterprise resource planning (ERP) systems.
  • Experience working in nonprofit, education, or other mission-driven organizations. 

Physical Requirements

  • Prolonged periods of sedentary work.
