As a Administrative Assistant you will perform receptionist, secretarial and clerical duties in the Nursing Service office while functioning as the focal communication source in Nursing Service. Responsible for the preparation of Nursing Personnel work-schedule and daily staffing for the Patient Care areas.
General Requirements:
• Performs receptionist duties of answering telephone, greeting and directing customers in the Nursing Service office.
• Creates and revises scheduling process to meet the dynamics of the patient care areas
• Aligns with the distinct needs of each patient care area.
• Preparing, revising and maintaining Nursing Service work-schedule and coordinating daily staffing of Patient Care areas including Med Surg, OB, SCU, respiratory care, house supervisors and Emergency Department
• Communicates regularly and often with Inpatient Director and House Supervisors regarding staffing needs
• Reconciles Kronos payroll every pay period to assure accurate capture of worked time, unpaid time, and specific bonus hours.
• Reviews and revises staffing plans in collaboration with nursing leadership.
• Demonstrates the ability to establish priorities and organize efficiently.
• Demonstrates competence in the work area with other related duties.
• Demonstrates a positive attitude and interest in work by maintaining acceptable work habits and behaviors.
• Maintains confidentiality.
• Demonstrates commitment to Customer Service.
• Processes incoming mail. Collects from mail room and distributes to nursing services team.
• Assists director with unit based safety rounds and environment of care regulations. Serves as role model for the culture of safety
• Prepares for regulatory site visits including CLIA, DIA
• Attends and takes minutes at such meetings, distributes the meeting minutes to attendees, prepares agenda for meetings, schedules meetings via outlook and resource scheduling in computer
• Assists in attendance tracking and vacation requests of employees
• Invoice approval and tracking
• Inventory and ordering of supplies, forms
• Intake and follow up on patient/family concerns or complaints in absence of patient advocate.
• Maintains employee directory with current phone numbers and email addresses
• Edits policies, protocols and other documents in PolicyStat at the direction and guidance of inpatient manager
• Agency staffing contact for inpatient care areas
• Assists with new hire orientation processes, schedules, follow up
• Assists clinical educator with entry of data into computer system, creation of paper certificates, follow up to employees
• Data tracking of patient transfers to other facilities
• Assists volunteers with form ordering and supply needs
• Attends new employee orientation to educate new inpatient staff on
