The Opportunity:

The Returns Authorization Claims Coordinator is responsible for supporting the accurate and timely processing of approved dealer return requests. This role manages return information in company systems, reviews dealer inspection results and documentation, verifies returned products against approved records, and investigates discrepancies between dealer submissions, warehouse receipts, and internal system data. The position also responds to dealer inquiries, reviews chargebacks related to return credits, and coordinates with dealers, warehouse teams, and internal departments to resolve issues and ensure compliance with established procedures.

This role requires strong attention to detail, organizational skills, and the ability to manage multiple return cases through completion. The Dealer Returns Coordinator will maintain accurate records, support reporting needs, and take ownership of assigned responsibilities to help ensure efficient return operations and a high level of service to dealer partners.

Responsibilities:

  • Organize approved return requests using Microsoft Excel and accurately enter required return information into applicable company systems.
  • Review dealer product inspection results and update inspection and return information in company systems as needed.
  • Review incoming dealer inquiries and provide timely responses, generally within one business day, or follow up appropriately when additional research is required.
  • Process return approvals by reviewing return documentation and system information in accordance with established procedures and authorization levels.
  • Verify products received at the return warehouse against approved return records and system information, including quantities, models, serial numbers, and other relevant details.
  • Identify and investigate discrepancies between dealer return records, warehouse receipts, and company system information, coordinating with dealers and internal teams to support resolution.
  • Review dealer chargebacks related to unpaid or disputed return credits and compare supporting documentation against company system records to verify accuracy and validity.
  • Maintain accurate and organized return records, supporting documentation, and relevant communication history.
  • Coordinate with dealers, warehouse personnel, and cross-functional internal teams to support timely and accurate processing of return cases.
  • Take ownership of assigned cases, maintain appropriate follow-up, and complete assigned responsibilities within established deadlines.
  • Prepare reports, summaries, and presentations related to dealer returns and operational activities as requested.

Education / Experience (Requirements):

  • Bachelor’s degree in Business Administration, Supply Chain Management, Logistics, Operations Management, Finance, Accounting, Data Analytics, or a related field is preferred. Equivalent relevant professional experience may be considered in lieu of a degree.
  • Candidates without a bachelor’s degree must have sufficient relevant professional experience demonstrating comparable knowledge and skills applicable to the position.
  • Relevant experience may include dealer support, returns management, logistics, operations, customer service, financial reconciliation, data management, or related business functions.
  • Strong proficiency in Microsoft Excel is required, including the ability to organize, review, compare, reconcile, and maintain business data accurately and efficiently.
  • Strong proficiency in Microsoft PowerPoint is required, including the ability to organize information and data into clear and professional reports and presentations.
  • Strong written and verbal English communication skills are required, with the ability to communicate clearly, professionally, and promptly with dealers, management, and cross-functional stakeholders.
  • Strong organizational and time-management skills are required, with the ability to manage multiple requests and priorities simultaneously.
  • Ability to review business information, identify discrepancies, and determine appropriate next steps based on established policies and procedures.
  • Strong sense of ownership and accountability, including appropriate follow-up on assigned cases through completion.
  • Ability to complete assigned responsibilities within established deadlines.
  • Ability to work collaboratively with dealers, warehouse personnel, and cross-functional internal teams.

$54,000$58,000 USD
