Events & Engagements Specialists (EESs) within Global Meetings & Events, part of the Procurement Services tower, are responsible for implementing event plans and managing operational activities related to services provided by Scientific External Experts (SEE) and Health Care Organizations (HCO) during events. They lead the end-to-end process for various event types including internal events, congresses, conventions, advisory boards, speaker training, and virtual engagements.

Main responsibilities:

As an Events & Engagements Specialist, you will be responsible for the seamless execution of a wide range of internal and external events, as well as managing engagements with healthcare professionals and external experts. This role has a strong focus on congresses and conventions, leading and overseeing the end-to-end coordination of congress-related activities through third-party agency partners, from planning to sponsorship management.

The role also supports the delivery of other event types, including internal meetings, advisory boards, speaker training, and virtual engagements, ensuring seamless execution and compliance throughout the event lifecycle.

Responsibilities 

On Congresses & Events:

  • Lead end-to-end coordination of congress and convention activities, including sponsorship process handling, exhibit management, partnering directly or indirectly, through third party agencies, with transversal brand teams, creative agencies, HCOs, Associations, and exhibit vendors for the best end-to-end experience at every event that meets/exceeds the expectations of our internal and external stakeholders.

  • Provide input regarding site selection, service contractors, contract negotiation and budget planning. Facilitate vendor selection. Adhere to company policies, particularly those related to transparency and compliance. In charge of remote meeting management through local vendors, as well as technical and analytical support for hybrid and virtual meetings.

  • Coordinate hotel accommodations and services, transportation, communications and facilities support, program functions and related activities, either directly or indirectly through a third party agency.

  • Plan and monitor different types of meetings, identify risks early in the process and set up a risk mitigation plan. Oversee all program logistics, including attendee registration and data management, food and beverage selection, speaker communications, audiovisual needs, and off-site venues, and on occasion provide hands-on program management.

  • Ensure budget management, financial reconciliation and post-meeting reporting to identify synergies and cost-efficiencies achieved. Serve as the subject-matter expert for the implementation & training of technology solutions, and analysis of attendee data. Provide technical support and troubleshooting for One Sanofi platforms such as CVent, as well as other meeting technology solutions.

  • Support additional administrative and operational tasks as needed to ensure smooth congress, event and engagement delivery.

About you

Experience:

  • Minimum 3–5 years in event planning, contracting, or operational support, preferably in the pharmaceutical/life sciences industry or other regulated markets.

  • Experience with congress/convention coordination, tradeshow management, and sponsorship handling is a must.

Technical skills:

  • Proficiency in Microsoft Office suite.

  • Hands-on experience with tools like Veeva Vault CRM, Cvent, or similar event/contracting platforms is strongly preferred.

Soft skills:

  • Strong stakeholder engagement.

  • Attention to detail, customer orientation, and adaptability.

  • A proactive, problem-solving mindset with strong critical thinking skills is essential.

  • Able to work independently in a fast-paced, multicultural environment with urgency and accountability. 

Education:

  • Bachelor’s degree

Languages: Excellent knowledge of English language (spoken and written).

The salary range for this position is :Ft9 120 000,00 - Ft13 680 000,00

Final compensation will be determined based on demonstrated experience, skills, location, and other relevant factors. Employees may be eligible to participate in Company employee benefit programs.
