Job Description:
The Coordinator - Office Support (OCE & SOE) position serves as an essential member of the administrative support team for the School of Education main office and its Office of Clinical Experiences (OCE) at Louisiana State University A&M campus. This position provides front-line office support and administrative assistance that ensures the day-to-day operations of both units run smoothly, professionally, and efficiently.
Job Responsibilities
Front Desk & Visitor Reception: 30%
Serve as the first point of contact for the School of Education and OCE, greeting visitors, students, faculty, and external partners with professionalism and warmth. Answer, screen, and direct incoming telephone calls; respond to general email inquiries and route to appropriate staff as needed. Maintain a welcoming, orderly, and professional front-office environment. Provide general information to prospective and current students regarding programs, policies, and procedures. Escalate complex inquiries to appropriate staff, and receive and distribute mail, packages, and deliveries.
Student & Faculty Records Management: 25%
Maintain accurate and confidential student and faculty records in accordance with FERPA regulations and university policies. Organize, file, retrieve, and update physical and digital records including clinical placement files, program documents, and correspondence. Enter and verify data in departmental databases. Run routine reports as requested. Assist with compiling documentation for accreditation reviews, program assessments, and reporting requirements, and ensure integrity of filing systems. Flag discrepancies or missing documentation to supervisors.
Event Planning & Logistics Support: 20%
Assist in planning and coordinating departmental events including faculty meetings, student orientations, clinical placement information sessions, and professional development workshops. Reserve rooms and facilities, coordinate catering, audio-visual equipment, and supply needs. Provide on-site logistical support during events. Assist with setup and breakdown as needed. Assist with maintaining a master calendar of departmental events and deadlines. Send reminders and communications to attendees.
General Administrative Support: 20%
Prepare and proofread correspondence, memos, forms, and other documents as directed. Assist with ordering, tracking, and maintaining inventory of office supplies. Assist with photocopying, scanning, and distributing documents, and support scheduling efforts for staff meetings, supervisor calendars, and departmental activities.
Other duties assigned: 5%
Additional information
Standard office environment; position requires extended periods of sitting and computer use.
Occasional evening or weekend hours may be needed to support departmental events.
On-site presence required during regular business hours; remote work is not available for this role.
Minimum Qualifications
Bachelor's degree. Some related experience in an office, administrative, or customer service environment.

Preferred Qualifications
Experience working in a K-12, college of education, or clinical/field placement context
