Key Responsibilities

Maintenance Planning

• Review incoming maintenance work requests and convert approved requests into properly scoped work orders.
• Develop detailed job plans including scope of work, job instructions, required labor and estimated hours, required skills/crafts, parts and materials, special tools, contractor requirements, safety requirements, permits and LOTO considerations, and relevant drawings/manuals.
• Conduct field reviews of equipment when necessary to properly define work scope.
• Ensure parts, materials, tools, and documentation are available before work is placed on the schedule.
• Identify opportunities to improve job plans based on technician feedback and completed work history.
• Develop reusable job plans for repetitive maintenance activities.

Maintenance Scheduling

• Develop weekly maintenance schedules based on equipment priorities, production requirements, available labor, parts availability, and maintenance backlog.
• Coordinate schedules with Maintenance leadership, Operations, Engineering, Reliability, Sanitation, and other affected departments.
• Facilitate or support weekly maintenance scheduling meetings.
• Develop daily work schedules from the approved weekly schedule.
• Balance available maintenance labor against planned work requirements.
• Coordinate planned equipment downtime with Operations.
• Incorporate preventive, predictive, corrective, project, and improvement work into the maintenance schedule.
• Track schedule compliance and identify reasons scheduled work was not completed.

Preventive & Predictive Maintenance

• Maintain and continuously improve the site's preventive maintenance program.
• Review PM frequencies, procedures, equipment history, and failure trends.
• Ensure PM tasks are specific, effective, and focused on preventing identifiable failure modes.
• Work with Reliability, Engineering, and Maintenance leadership to eliminate ineffective or redundant PM tasks.
• Recommend PM changes based on breakdown history, RCA findings, technician feedback, and equipment performance.
• Ensure corrective actions identified through inspections, PMs, and predictive maintenance activities are converted into planned work orders.

CMMS & Work Order Management

• Maintain accurate work-order information within the CMMS.
• Ensure work orders contain appropriate equipment, asset, failure, labor, material, and completion information.
• Maintain equipment hierarchy and asset information as required.
• Monitor work-order backlog and work-order aging.
• Maintain a ready-to-schedule backlog of fully planned work.
• Review completed work orders for quality and completeness.
• Use equipment history to support reliability and continuous improvement efforts.
• Maintain accurate PM schedules, frequencies, job plans, and maintenance procedures.
• Control Maintenance Cost weekly basis through work order management ( parts, labor and services)
• Storeroom Coordination
• Identify parts and materials required for planned maintenance activities.
• Coordinate with Storeroom/Purchasing to ensure materials are available prior to scheduled execution.
• Reserve or kit parts for scheduled maintenance work.
• Identify critical spare-part requirements based on equipment criticality and maintenance history.
• Help reduce emergency parts purchases through improved planning.
• Provide BOM and equipment spare-parts information when available.

Breakdown & Reliability Support

• Review recurring equipment failures and breakdown history.
• Support Root Cause Analysis (RCA) and 5-Why investigations.
• Ensure corrective actions resulting from RCAs are entered into the CMMS, planned, and scheduled.
• Review existing PM tasks following significant equipment failures to determine whether an effective preventive task exists.
• Work with Maintenance and Engineering to develop or modify PMs when failure modes are not adequately addressed.
• Identify repetitive corrective maintenance that should be converted into preventive, predictive, or improvement work.

Qualifications

Required

• 3–5+ years of industrial maintenance, maintenance planning, reliability, or related manufacturing experience.
• Strong understanding of mechanical and electrical industrial maintenance.
• Experience working with CMMS systems and maintenance work orders.
• Understanding of preventive and corrective maintenance practices.
• Ability to read equipment manuals, drawings, schematics, and technical documentation.
• Strong organizational and scheduling skills.
• Strong communication skills with the ability to coordinate across Maintenance and Operations.
• Working knowledge of Microsoft Excel and other standard business applications.

Preferred

• Previous Maintenance Planner/Scheduler experience in a manufacturing environment.
• Food manufacturing or other high-speed production experience.
• Experience with SAP PM, Maximo, Fiix, eMaint, MaintainX, or similar CMMS/EAM platforms.
• Experience with reliability-centered maintenance, failure-mode analysis, RCA, and 5-Why methodology.
• Experience developing equipment BOMs and critical-spares strategies.
• Familiarity with predictive technologies such as vibration analysis, thermography, ultrasound, and oil analysis.

Knowledge, Skills & Competencies

• Knowledge about Maintenance and Reliability Measures (Lagging & Leading Measures – OEE, MTBF,etc…)
• Strong planning and organizational discipline.
• Equipment troubleshooting knowledge.
• Ability to prioritize work based on equipment criticality and business impact.
• Understanding of maintenance and reliability principles.
• Strong attention to detail.
• Effective communication with technicians, supervisors, engineers, and production leadership.
• Ability to challenge reactive maintenance practices and promote planned work.
• Data-driven decision making.
• Support Maintenance Management Routines ( DMS )
• Continuous improvement mindset .
• Strong ownership and follow-through.
