About the Opportunity
The EPMO Reporting & Applications Analyst supports the ongoing management of an optimised portfolio through providing data analysis services, quality reporting of portfolio performance, and project support across the portfolio. Another key focus for this role is playing a proactive role in the continuous improvement and knowledge management of EPMO processes, applications, tools and templates to adapt to strategic direction and business needs.
- Business Partnering: Partner with Delivery Leads and business stakeholders to ensure accurate, consistent and timely reporting aligned to VicRoads' governance frameworks. Act as a key contact for EPMO, PMO and delivery teams on PMO applications, while maintaining data integrity and supporting quality portfolio insights, reporting and trend analysis.
- Governance & Planning: Coordinate the delivery of portfolio and pipeline reporting, executive governance materials and governance communications to support effective decision-making across the organisation. Maintain forward governance calendars, meetings and reporting schedules, while continuously improving governance frameworks, tools and templates to meet the needs of projects of varying size and complexity. Ensure consistent adherence to established governance, reporting standards, delivery methodologies and project management practices across the portfolio.
- Analysts and reporting: Deliver high-quality portfolio reporting, dashboards and analytical insights to support the EPMO, project and program stakeholders, and executives in making informed decisions. Maintain the Portfolio and Pipeline Register and Roadmap, ensuring data integrity, accuracy and timeliness across all reporting outputs. Analyse portfolio performance and trends to provide evidence-based insights that support planning, prioritisation and investment decisions. Support investment lifecycle activities through strong data and tool expertise, and partner with Finance to ensure project funding, approvals and authorisations are accurately recorded and aligned with governance requirements.
- Project Support Services: Provide advice and support on project and portfolio management frameworks, governance and delivery processes to enable successful portfolio outcomes. Develop and maintain reporting templates and dashboards, support business case development, project setup and benefits management activities, and act as a key point of contact for EPMO enquiries. Partner with stakeholders across VicRoads to promote consistent portfolio practices and support the effective onboarding of project delivery resources.
- Tools & Templates: Assist in the development and continuous improvement of PPM tools, templates and processes to enhance portfolio delivery and governance outcomes. Review and analyse existing EPMO systems and tools to identify improvement opportunities, provide subject matter expertise on tool functionality and best practice usage, and maintain EPMO tools, templates, communication channels and knowledge repositories to support consistent ways of working across the organisation.
About You
You are an experienced PMO, Portfolio or Project Management professional with a strong understanding of Project Portfolio Management (PPM) principles and a passion for enabling successful project and portfolio outcomes. With at least three years of experience within project delivery, PMO or portfolio environments, you bring a solid foundation in governance, reporting, project assurance and portfolio management practices.
You have hands-on experience working with tools such as Jira, Confluence, Workday, Microsoft Project, Excel, PowerPoint, Power BI and other PPM platforms, and are confident using data to generate meaningful insights and support informed decision-making. Your strong analytical skills allow you to interpret complex information, understand data models and identify opportunities to improve processes, reporting and portfolio performance.
Known for your customer-focused approach, you build trusted relationships with stakeholders across all levels of the organisation, including senior leaders and executives. You are an excellent communicator, capable of translating complex concepts into clear, actionable messages, and influencing outcomes through collaboration and well-considered advice.
You thrive in dynamic environments and can adapt quickly to changing priorities, business needs and delivery approaches. With experience reviewing projects against established governance frameworks, you understand how to balance compliance with pragmatism to support successful delivery outcomes. Your ability to work independently, manage systems and tools, and act as a subject matter expert enables you to provide high-quality support across a diverse project portfolio.
You are proactive, innovative and continuously looking for ways to improve how work is delivered. Experience with project management and change delivery methodologies such as PRINCE2, SAFe, Agile, Waterfall or Hybrid delivery approaches will be highly regarded, as will experience working within large-scale PMO or portfolio environments supporting complex programs of work.
