Job Description

Monday - Friday, 8:30AM - 5:00 PM

Job Summary:

The Business Office Manager (BOM) is a high-impact position responsible for overseeing and administering the community's accounting and human resources functions. They are the crucial link that ensures the functions run effectively and that all related tasks are performed in compliance with current policies, procedures, and guidelines, as well as relevant federal, state, and local regulations. The BOM is passionate about precision, integrity, and operational excellence, while embodying the MBK Principles and Core Values and cultivating a supportive and welcoming environment for our team and residents.

Supervisory Responsibilities:

  • Interview, hire, train, set performance goals and timelines, monitor performance, and provide coaching for the front desk concierge team members.

Duties & Responsibilities:

  • Perform, administer, and oversee the community accounting functions, including but not limited to accounts receivable, collections, accounts payable, and management reports.
  • Oversee resident billing, collections, and vendor payments to ensure timely processing and accuracy, and maintain resident files.
  • Works with Corporate to facilitate seamless resident billing and payment updates.
  • Administer talent acquisition processes, including posting job openings, coordinating interviews, generating offer letters, and administering background checks, reference checks, employee physicals, and skills surveys.
  • Partner with the Regional Talent Acquisition Partner on hiring best practices, sourcing, and review of recruitment metrics.
  • Perform Human Resource administration, including assisting with leaves of absence and workers’ compensation cases, and maintaining employee files.
  • Collaborate with Department Heads to ensure the required new employee paperwork, training, and orientation are completed.
  • Coordinate payroll function duties, including generating management payroll reports, confirming hours worked, timely transmitting payroll information, and tracking and reporting labor discrepancies to leadership.
  • Manage employee benefit programs, including employee communication about plan details and eligibility requirements, and ensure timely plan enrollments.
  • Manage, plan, develop, organize, schedule, evaluate, and direct the front desk department, in accordance with all community policies and procedures.
  • Coordinate and work closely with the Executive Director, Department Heads, and Corporate Office on any community legal issues, including but not limited to subpoenas, unemployment, labor, and disability claims.
  • Manage long-term care insurance coordination and maintain contracts with third parties to ensure compliance, accuracy, and seamless operations.
  • Maintain staff roster for licensing, as required by the state, and the OSHA binder to ensure that all worker compensation claims are managed in accordance with community policy.
  • Maintain a safe and secure environment for staff, residents, and guests following established safety standards, policies, and procedures.
  • Understand and comply with Federal, State, and local regulations, and company policies and procedures concerning the department.
  • Promote and lead with a spirit of teamwork and open communication through consistent mentoring, coaching, and recognition program utilization, in alignment with MBK principles and core values.
  • Perform other duties or special projects as assigned and requested by the Executive Director and/or Supervisor.

Education Requirements:

  • High school diploma or equivalent (GED), required.
  • College degree or several years of college coursework, preferred.

Experience Requirements (in years):

  • 3+ years of prior supervisory or leadership experience in a similar work environment or industry, required.
  • 2+ years of fundamental accounting experience/knowledge, preferred.
  • 2+ years of fundamental human resources experience/knowledge, preferred.
  • 1+ years of fundamental recruitment or talent acquisition experience strongly preferred.

Required Competencies/Licenses/Certifications:  

  • Good working knowledge of HR, payroll, talent acquisition, and accounting requirements and protocols.
  • Must complete required background clearances, health screening, and provide negative TB test results within 7 days of employment (must be within the last 6 months).
  • Valid state driver’s license and valid insurance or reliable method of transportation.
  • Demonstrated proficiency using Microsoft Office Suite (e.g., Word, Excel, and Outlook) and operating standard office equipment.
  • Must have excellent verbal and written communication skills, including the ability to speak, write, and read English, and must be comfortable explaining information to a wide audience with varying levels of understanding.
  • Must have the ability to make sound, independent decisions when circumstances are warranted, remain calm and effectively manage conflicts, stressful, or emergency situations.
  • Ability to maintain confidentiality of all sensitive information.
  • Must have the ability to always deal tactfully and professionally with personnel, residents, family members, and guests.
  • Must present a positive and professional image.

Physical Demands & Work Environment:

  • Must be mobile and able to perform the physical requirements of the job, including walking, bending, kneeling, squatting, pulling, reaching overhead, and repetitive motion.
  • Must be able to move intermittently throughout the workday, in the community, and between neighborhoods.
  • Ability to sit and work at a computer for prolonged periods.
  • Ability to lift and carry up to 50 pounds and push up to 250 pounds, as necessary.
  • Ability to assist in the physical movement of residents during routine transfers or in emergency situations.
