JOB SUMMARY:

An EPIC EHR Business Analyst serves as the liaison between healthcare operations, clinical staff, and information technology teams to support, optimize, and enhance the Epic Electronic Health Record (EHR) system. This role is responsible for analyzing business and clinical workflows, gathering requirements, configuring Epic applications, troubleshooting system issues, and implementing solutions that improve patient care, operational efficiency, regulatory compliance, and user satisfaction.


RESPONSIBILITIES:

OCHIN/EPIC - Support

  • Act as the EPIC Systems Administrator, including user account management & security.
  • Provide daily support to Epic applications users through troubleshooting, coaching, and consulting.
  • Identify, assess, and troubleshoot application and equipment issues as they occur, owning the problem and seeing it through to full resolution. Refer issues that require additional assistance to the member’s IT/Help Desk or OCHIN’s Help Desk(JIRA), including technical and workflow information necessary to resolve the issue. Communicate resolutions to the user when completed. 
  • Establish an EPIC Super User program at MCHC, acting as liaison with MCHC department representatives and OCHIN to undergo OCHIN Super User certification.
  • Manage error queues established for member organization.

OCHIN/EPIC Project Lead

  • Collaborate with clinic leadership and users to identify opportunities for efficiencies in clinic operations, clinical practice support, and improved health outcomes.
  • Maintain up-to-date knowledge of the OCHIN/EPIC roadmap and blueprint and how future projects and features may affect MCHC or be beneficial to MCHC. Communication of these to the IT Director and MCHC executive management is required.
  • Act as the main point of contact between OCHIN Project teams for the implementation of upgrades or new EPIC features approved by the MCHC IT Director and MCHC management. Manage each project from initial project concept to final implementation with OCHIN Project teams and MCHC departments. 
  • Manage the OCHIN SOW process and shepherd the contract with MCHC management for signatures and approvals. 
  • Communicate in detail the project plan and expectations to MCHC Department directors affected by the project. Coordinate with Department directors impacted by the project and coordinate dates, deadlines, requirements, testing, and end user training.
  • Schedule and conduct end-user training as necessary to support a smooth implementation.
  • Collaborate with OCHIN and member oversight or advisory workgroups to optimize use of the system through implementation of new Epic features and upgrades.
  • Liaison with Boston Health Network(BHN) and Massachusetts League of Health Centers to coordinate with their EPIC recommendations and plans. 
  • Network with other Health Centers for insights and their efforts with EPIC.

OCHIN/EPIC – Artificial Intelligence (AI)

  • Maintain up-to-date knowledge and future plans OCHIN/EPIC has concerning AI and how it could affect MCHC Departments and functions. Arrange demonstrations of OCHIN offered AI solutions with MCHC Departments and management.
  • Support MCHC management decisions on AI and implementation projects as necessary at MCHC.
  • Liaison with Boston Health Network and Massachusetts League of Health Centers to coordinate with their AI recommendations and plans. 
  • Create and manage MCHC EPIC AI Policy on usage and inform affected employees of the policy and proper usage of AI in EPIC.

Data Analytics & Reporting

  • Generate and distribute recurring reports and dashboards within the OCHIN/Epic reporting environment to support clinical operations, finance, quality metrics, grants, patient-centered medical home (PCMH) and accountable care organization (ACO) deliverables, and regulatory reporting requirements.
  • Collaborate directly with stakeholders on ad hoc information requests to create custom queries, reports, and analyses of aggregated and patient-level data utilizing Microsoft Power BI, SQL, Business Objects, Crystal Reports, Tableau, or related data analytics tools.
  • Assist the population health and quality improvement teams to identify trends and opportunities for improvement and support patient outreach initiatives to close care gaps.
  • Maintain compliance with HIPAA and organizational policies regarding data security and confidentiality.

EPIC Training

  • Coordinate and provide introductory EPIC training to new department staff, providers and clinicians.
  • Provide competency/efficiency training for existing users.
  • Support and upgrade training in collaboration with OCHIN and MCHC Department needs. 
  • Collaborate and coordinate with OCHIN and any Member support teams, including Help Desk, to translate learnings and experiences into documentation, training aides, newsletters or other materials appropriate for MCHC.

Must cooperate fully with MCHC’s Corporate Compliance Program and performs all tasks as assigned by the Director of IT.

Requirements

  • 5-10 years of experience in a similar supportive EMR role required, Epic strongly preferred. 
  • Demonstrated ability to effectively train and coach end-users to higher levels of EMR efficiency.
  • Effective interpersonal and communication skills are necessary to provide support to end-users and be an effective trainer 
  • Strong project management skills 
  • Strong familiarity with Microsoft Office, Outlook, Teams, Word, Excel, PowerPoint
