Position Summary
The Office Services Coordinator is responsible for supporting the day-to-day operations of the workplace by coordinating/supporting office services, mail services, vendor support, workplace amenities, conference room services, and employee-facing customer service functions. This role serves as a key point of contact for employees, visitors, and service providers, ensuring a professional, efficient, and welcoming office environment.
Essential Duties and Responsibilities
Office Operations
- Coordinate daily office services to ensure the workplace operates efficiently and effectively.
- Serve as a primary point of contact for employee office service requests.
- Support office policies, procedures, and workplace standards.
- Assist with office space planning, moves, adds, and changes.
Conference & Event Support
- Coordinate conference room scheduling and setup.
- Support internal meetings, training sessions, and company events.
- Arrange/Support catering services and event logistics as requested.
- Ensure meeting spaces are clean, functional, and equipped prior to meetings.
Vendor & Building Management Coordination
- Coordinate with vendors, contractors, and building management regarding office services.
- Submit and track building service requests.
- Support maintenance activities and workplace improvement projects.
- Assist with vendor access, work permits, and service scheduling.
Workplace Experience
- Provide exceptional customer service to employees and visitors.
- Assist with onboarding activities for new employees, including workspace preparation.

Administrative Support
- Maintain records, reports, and service documentation.

- Support special projects and departmental initiatives as assigned.
Qualifications
Education
- High School Diploma or equivalent required.
- Associate's or Bachelor’s degree in business administration, Facilities Management, Hospitality, or a related field preferred; commensurate experience will be considered.
Experience
- 2-5 years of experience in office administration, workplace services, facilities coordination, hospitality, or corporate services.
- Experience supporting corporate office environments preferred.
Knowledge, Skills, and Abilities

- Excellent organizational and multitasking skills.
- Strong verbal and written communication skills.
- Ability to prioritize tasks and meet deadlines.
- Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and Teams.

Physical Requirements
- Ability to walk throughout office facilities regularly.
