What we are looking for:
The Registration/Scheduling Clerk is an integral member of the interprofessional team. The incumbent will significantly contribute to the smooth operation of Patient Registration, Admitting and Patient Booking as well as staff scheduling. The clerk will provide a high quality of customer service in all aspects of the work. This role will also be trained to provide out of department coverage for clinical areas including Inpatient, Emergency and DI departments as as needed.
Primary responsibilities will include:
- Registering and admitting patients to the Emergency Department, Ambulatory Clinics, Endoscopy, Bed Allocation, Diagnostic Imaging and Inpatient Medical Surgical Unit
- Staff scheduling including staffing sick calls
- Acknowledging, receiving and directing patients, visitors, other hospital personnel and external partners in a professional manner
- Providing clerical support including: transcribing Physician orders, coordinating meals/snacks for patients, filing, photocopying, faxing, preparing/assembling new patient charts, supporting the nursing staff as directed,
- Auditing charts and making corrections as needed
- Booking all ambulatory patient appointments for Diagnostic Imaging, Ambulatory Clinics or Endoscopy visits including, receiving faxed referrals from physician offices, booking endoscopy/OR times and notifying patients of their time and providing verbal and written pre-operative instructions if applicable, maintaining the endoscopy/OR list, preparing and distributing monthly surgical calendars, preparing charts and OR packages, setting up the patient rooms for clinics including directing patients and stocking rooms with appropriate requisitions and paperwork, processing physician orders, booking, confirming patients appointment and populating special procedures list
- Answering the general Uxbridge phone line and directing calls appropriately
- Collecting payment for purchased items or out of province payment for services and other financial duties as assigned (e.g. Cashier).
What you bring to the role:
- Previous clerical experience in a hospital setting; registration and bed allocation experience coupled with unit clerk experience would be ideal
- Proficiency in office computer applications and proven keyboarding skills with a minimum typing speed of 40 wpm; Meditech 6.0 and/or computerized scheduling is ideal
- Knowledge of clinic and endoscopy procedure booking and scheduling is ideal
- Demonstrated excellent knowledge of medical terminology
- Ability to work effectively both independently and as a team member
- Excellent critical thinking and organizational skills with the ability to prioritize multiple demands and work efficiently in a fast paced clinic environment
- Ability to maintain and safeguard the confidentiality of patient information
- Ability to work well in a fast paced environment is essential
- Excellent customer service skills
- Exceptional interpersonal and communication skills and a proven ability to function in a cooperative and facilitative manner with the public and staff
- Demonstrated good attendance and performance records with the ability to maintain these same standards
- Demonstrated commitment to a healthy and safe workplace for self and others (staff, patients, families, etc.) by taking all reasonable precautions and working in compliance with hospital related policies, health and safety legislation and best practices and completing relevant mandatory education as required
Work Schedule:
The successful candidate must be available to work rotating 8 and 12 hour shifts, days, evenings and weekends. Please note schedules may change due to operational needs.
