Tax Operations Lead
Location: Miami, FL | Full-Time, On-Site
Compensation: Competitive, based on experience
About the Role
A tax and accounting firm is seeking a Tax Operations Lead to run its tax intake and client documentation process. In this role, you'll review prior-year tax information, determine what documentation each client needs, coordinate collection efforts, and make sure files are complete and organized before they go to preparation. You'll also manage entity formations and state compliance matters, and act as the primary resource for the Tax Administrator on intake procedures and workflow priorities.
This is a hands-on position suited to someone with strong organizational instincts, sharp attention to detail, and a solid grasp of individual and business tax fundamentals.
What You'll Do
- Review prior-year returns and client files to build customized document request lists each tax season
- Coordinate client document collection and follow-up, prioritizing outstanding items with the Tax Administrator
- Track missing documentation across the client base to keep files moving on schedule
- Conduct pre-preparation reviews to catch missing information, inconsistencies, or new client activity
- Prepare intake notes summarizing client changes and open items for preparers
- Process entity formations — LLCs, corporations, S-corp elections, EIN applications, registered agents, and foreign qualifications — across Florida and other states
- Advise clients on entity types and corporate structures, routing technical tax or legal questions to the right team member
- Monitor annual report deadlines and state filing requirements
- Serve as the go-to contact for intake procedures and workflow priorities
- Communicate with clients professionally by phone, email, and portal
- Help develop and refine intake procedures, checklists, and templates
What You'll Bring
- 2–3+ years of experience in a tax or accounting firm
- Working knowledge of individual and business returns (Forms 1040, 1065, 1120-S, 1120) and related documentation
- Understanding of common business entity types and corporate structures
- Strong organizational skills and the ability to manage high volume during tax season
- Excellent written and verbal communication
- Experience directing team members or coordinating shared workflows
- Exceptional attention to detail and accuracy
- Bilingual in English and Spanish
Nice to Have
- Multi-state entity formation experience
- Experience with state compliance filings and annual report requirements
- Experience coordinating tax department workflows or client intake processes
