Compensation
We’ll pay you an hourly rate of $16 to $18.
Availability: Sundays, 11am-2pm (with up to an additional hour per week for supervisor check in; 5 hours total). As JFS programming and service hours expand, there may be opportunities for additional work hours.
About the Job
The JFS Assistant Administrator provides front desk coverage and support for JFS staff and clients. This position will answer the phone, welcome and check in clients and visitors, assist with security communications, monitor the room reservation system, assist with inventory and restocking supplies, and provide general administrative support as needed during front desk coverage.
You’ll wow us by masterfully performing the following key duties and responsibilities:
Essential functions:
- Responsible for a variety of administrative tasks such as answering and directing calls, organizing mail, directing visitors, and providing office support.
- Cultivates a welcoming, neat, and organized office environment and assists with the operational needs of the office during scheduled coverage.
- Interfaces with clients and employees on a regular basis.
- Welcomes and checks in clients and visitors and follows established front desk and security procedures.
- Communicates with security and JFS staff regarding client and visitor arrivals, building access, and other front desk needs.
- Takes stock of office and program supplies, assists with restocking, and notifies the Administrative Assistant when supplies need to be ordered.
- Assists clients and colleagues whenever possible to maximize customer service.
- Accepts and processes client payments according to established procedures, as needed.
- Assists with receiving and processing intake paperwork, as needed.
- Completes assigned administrative tasks during periods between client arrivals and other front desk responsibilities.
- Participates in scheduled supervision, training, and internal communication.
- Other duties as assigned.
Work environment
Perform in-office duties in accordance with agency policies. This is an in-office position.
Physical demands
Must be able to meet routine office physical demands including climbing stairs, carrying up to 20-pound objects and possessing the dexterity and vision to operate office computers and equipment.

Requirements
- knowledge, skills and abilities required to do this job.
- Computer literacy with Office 365 is a requirement for this position.
- Demonstrated success in effectively managing several tasks simultaneously.
- Must be willing to learn and work with multiple software programs, with training.
- Comfort working both independently and with a multi-disciplinary team.
- Excellent time management and written and verbal communication skills.
- Strong customer service and interpersonal skills.
- Ability to maintain confidentiality and appropriately handle sensitive client information
Required education and experience
High School diploma required. At least one year of experience working in an office setting.
Preferred education and experience
Associates or bachelor’s degree preferred.
