Key Areas of Responsibility

Order Management & Transaction Processing

  • Receive, review, and process incoming service parts requests submitted by Field Service Centers (FSCs).
  • Ensure all orders are accurately transacted through designated systems and tools such as Enterprise Systems (ES), Remedy, or other operational platforms.
  • Validate order details, part requirements, and delivery priorities to ensure prompt execution.
  • Monitor order progress from creation through completion, ensuring all transactions meet operational standards and service level objectives.

Work Order Administration

  • Maintain accurate and timely updates to service work orders.
  • Ensure all work order information is recorded correctly to support effective field service scheduling and dispatch activities.
  • Identify and resolve discrepancies that may impact service delivery timelines.
  • Provide real-time visibility into order and fulfillment status for internal stakeholders.

Parts Sourcing & Inventory Optimization

  • Source required parts from the most suitable and cost-effective inventory locations globally.
  • Work closely with supply chain and inventory teams to reduce stock shortages and backorder situations.
  • Prioritize sourcing decisions that support service level agreement (SLA) compliance and customer commitments.
  • Escalate critical shortages and coordinate alternative sourcing strategies when necessary.

Logistics & Carrier Coordination

  • Liaise with third-party logistics providers (3PLs), carriers, warehouses, and distribution centres to coordinate shipments.
  • Monitor transportation activities to ensure on-time pickup and delivery of service parts.
  • Track and trace shipments throughout the logistics network and resolve delivery issues proactively.
  • Follow up on delayed, lost, or damaged shipments and implement corrective actions as required.

Stakeholder Communication & Customer Support

  • Serve as the primary point of contact for Service Coordinators, Field Service teams, and other operational stakeholders regarding order fulfillment matters.
  • Provide regular progress updates and expected delivery timelines for open orders.
  • Communicate potential risks, delays, or supply constraints in a timely manner.
  • Ensure a high level of customer service by managing expectations and supporting issue resolution.

SLA & Performance Management

  • Monitor fulfilment activities against contractual service commitments and internal performance targets.
  • Take proactive actions to avoid SLA misses and minimize service interruptions.
  • Support continuous improvement initiatives aimed at enhancing fulfilment efficiency and delivery performance.
  • Ensure compliance with company policies, procedures, and quality standards.

Reporting & Operational Analysis

  • Prepare and maintain daily operational reports related to order status, shipment performance, backorders, and service metrics.
  • Analyze trends and recurring issues impacting fulfilment performance.
  • Provide accurate data and insights to management to support operational decision-making.
  • Maintain records and documentation for audit and compliance requirements.

Continuous Improvement

  • Identify opportunities to streamline processes and improve order fulfilment efficiency.
  • Recommend improvements in inventory utilization, transportation management, and workflow effectiveness.
  • Participate in cross-functional initiatives to enhance service delivery and customer satisfaction.
  • Support the implementation of new tools, processes, and best practices within the supply chain and logistics operation.

Basic Qualifications

Education

  • Bachelor's Degree (Graduation) in any discipline from a recognized university is required.
  • Candidates with qualifications in Supply Chain Management, Logistics Management, Operations Management, Business Administration, or related fields will be preferred.
  • Professional certifications or completed courses in Supply Chain, Logistics, Inventory Management, Warehousing, Transportation Management, or Procurement will be considered an added advantage.

Experience & Technical Skills

  • Experience in logistics, supply chain operations, order management, inventory management, customer service, or fulfillment operations is desirable.
  • Strong working knowledge of Microsoft Office applications, particularly advanced Microsoft Excel, is required for day-to-day operational reporting, data analysis, performance tracking, and inventory management activities.
  • Proficiency in Excel functions such as Pivot Tables, VLOOKUP/XLOOKUP, data validation, conditional formatting, dashboards, reporting, and data analysis will be highly beneficial.
  • Familiarity with ERP systems, order management systems, warehouse management systems (WMS), or service management tools will be advantageous.

Communication & Administrative Skills

  • Good verbal and written communication skills with the ability to interact effectively with internal and external stakeholders.
  • Strong attention to detail and accuracy when processing orders, updating work orders, and maintaining operational records.
  • Basic to intermediate typing speed with a high level of accuracy will be an added advantage, enabling efficient transaction processing and administrative support activities.
  • Ability to manage multiple priorities, work under pressure, and meet established service level commitments and deadlines.
