PRIMARY PURPOSE
The Administrative Assistant shall serve The Navigators and fulfill the responsibilities listed below in the spirit of The Navigators calling, values and purpose: To advance the Gospel of Jesus and His kingdom into the nations through spiritual generations of laborers living and discipling among the lost.
This position provides quality and professional administrative support to the Encore Mission and Caleb Group Leadership.
ESSENTIAL FUNCTIONS
Administrative Support
- Maintain regular communication with Encore Mission Co-Directors for responsibilities and workload management
- Support Encore Mission Co-Directors, Encore Leadership Team and Caleb Group Council with assigned tasks and projects
- Complete Workday tasks as needed (approvals, expense reports, journal transfers, etc.) and submit/allocate Encore mission expenses to appropriate cost centers along with other possible financial tasks
- Provide event planning management and administrative support for Encore Mission & Caleb Group
- This will include events like the quarterly Senior Staff Coffee events, Senior Navigators Celebration conference, and Encore pre-conferences
- Create invitations and track responses for events
- Coordinate with the National Events team and Encore Leadership Team on events
- Arrange logistics, invitations and program for retirement events
- Minimal travel may be needed
- Support Communications for Encore Mission and Caleb Group
- Assist in the creation of content for communications
- Maintain communication calendars and manage the workflows to meet deadlines
- Coordinate with Marketing for Encore website changes, enhancements and presence on various social media platforms
- Management of Encore and Caleb Group emails, postal mailings and vendor relationships
- Update and maintain address databases for both Encore and Caleb contacts
- Contact Encore Staff and Caleb Group Members to verify and keep contact information current.
- Arrange for cards and flowers to be sent for funerals and memorial services
Additional Responsibilities
- Participate in Navigators’ on-site learning and development events, Cultural Development and Diversity trainings, or other non-Navigator developmental events as appropriate
- Participate in annual processes, such as the organizational Plan and Progress Review (PPR), Engagement Survey, Reaffirmation of the Navigators Code of Conduct, Calling-Core Values-Vision, Statement of Faith, Driver’s Authorization, and other releases as required
- Submit time worked on a weekly basis through the Workday Time Tracking system
- Submit expense reports, due the 15th of each month
- Other job-related duties as assigned
MINIMUM AND PREFERRED QUALIFICATIONS
Spiritual: Belief in and adherence to the Statement of Faith and Mission of The Navigators.
Experience: This role requires strong organization & time management skills with an emphasis on customer service. At least two years of experience as an administrative professional.
Technical Knowledge & Skills: Microsoft Office. Willingness to learn new software.
Communication & Leadership: Excellent interpersonal and communication skills including verbal & written, to create understanding and build strong working relationships required.
Education: Associate’s degree required. Bachelor's degree preferred.
Location: Hybrid opportunity. Must be located in the Colorado Springs, CO area.
Compensation Range: $19.27 - $30.15 per hour
