Under the general direction of the Director of Enterprise Applications and Services IS, the Workforce Optimization Supervisor is responsible for strategic leadership, planning and execution of all aspects of Workforce Optimization and Planning solutions, including but not limited to process optimization, outcomes and metrics, primarily for UKG Pro WFM.

The Workforce Optimization Supervisor is responsible for collaborating with functional areas partners (i.e., Payroll, Finance, Supply Chain, other IT service lines, HR Operations, HRBP, HR Employee Relations, Talent Acquisition and Total Rewards) and outside vendors to develop, lead, and support efficient and automated workflows. Providing technical expertise and knowledge transfer for effective administration, optimization and continued implementation of UKG Pro WFM.

The Workforce Optimization Supervisor is responsible for Managing Scheduling, Timekeeping, Datahub, Analytics, Productivity and Extensions Modules and Functional Area Supporting IT projects, change management, UKG governance model, transactions, training, testing, configuration and user acceptance, data view library, tiles, labor optimization reporting, acuity data, productivity reports and excellence customer service to internal and external partners.

Required Qualifications:

  • Bachelor’s degree in business administration, human resources, finance, information services or related field, or equivalent level of years of experience as a UKG system administrator and analyst
  • Three (3) of prior Healthcare experience in a Medical Center
  • Five (5) experience with UKG Pro WFM/Kronos application configuration experience designing and implementing complex HR Solutions and Scheduling solutions
  • Five (5) experience people management or subject matter expert Lead/super user required
  • Three (3) experience leading IT projects
  • Knowledge of UKG Workforce Management Time and Attendance, Attestation, Accruals, Leave, Advance
  • Scheduling, Datahub and Reporting Analytics, Productivity and Extension Modules
  • Strong customer orientation with patient care first mindset, and sense of urgency in accomplishing time-sensitive Tasks, especially for payroll week Advanced proficiency in Excel, MS Word, PowerPoint, Outlook, and other MS Applications
  • Ability to work in a fast-paced team environment
  • High attention to detail and ability to maintain confidentiality
  • Intermediate knowledge of batch uploads, CRTs, Boomi integrations and API
  • Practical experience with database administration, including payroll systems
  • Strong communication skills, both verbal and written. Should be able to adapt to communication style to suit different audiences and stakeholders.
  • Strong knowledge of ERP database design, structure, functions, and processes, and experience with database tools
  • Strong understanding of Healthcare ERP processes and data
  • Occasional travel is required

Preferred Qualifications:

  • Master’s degree in business, management, Healthcare, Human Resources, Finance, Information Systems or related field
  • Minimum of three (3) years of experience in a HRIS analyst or Financial Analyst role
  • Previous ERP Applications configuration experience
  • Excellent organizational skills; must be able to multitask and work with competing priorities, analytical, problem solving, and project management ability
  • Professional (PMP) Certification from the Project Management Institute (PMI)
  • Must be able to demonstrate the ability to manage workloads and resources
  • Prior SQL experience and integrations experience
  • Experience with Business Application IT systems, and process improvement experience.
  • Knowledge of all HR, Finance and Supply Chain processes and terminology related to each Functional Area

Duties and Responsibilities:

  • Collaborate with other internal Data and Analytics teams to accelerate solution development
  • Document solutions appropriately for handoff to supporting areas
  • Establish and follow best practices related to data analytics and visualization
  • Train and mentor staff on how to develop analytics and visualization solutions
  • Responsible for building, optimizing, and maintaining analytical models
  • Facilitate meetings with business partners (stakeholders) to capture requirements, determine reporting goals, and understand the business issue to be solved; design reports that share insight and provide answers for the business issues identified • Accountable for validation and analysis of report data to ensure accuracy and audits reports
  • Accountable collection and analyzing workforce data from disparate systems to identify trends, forecast staffing needs
  • Planning and optimizing resource allocation
  • Supervise team who creates and maintains technical documentation of processes, reports, applications, and Procedures for timekeeping, scheduling, productivity, analytics and acuity.
  • Build credibility and rapport with customers to understand their needs
  • Evaluate and contribute to the development of workforce policies, processes, training and technology to drive engagement, ensure compliance, and reduce operational costs
  • Support Workforce Management activities which may include workforce data collection and analysis, updating associate schedules, maximizing associate resources, managing intraday changes and completing necessary workflow adjustments
  • Support leadership with audits, grievances, ad hoc reports, ticket creation/tracking and tracking of IT/technology issues
  • Maintain a level of persistence and follow-up to ensure outcomes are optimized
  • Oversee real-time workforce management processes for Advance Scheduling and Timekeeping UKG Modules, including transactions, pay rule analysis, timecard analysis and calculation, historical corrections for employees, transaction assistant errors, CRTs updates, employee groups, personas and access profiles for end users, employee self-service for timekeeping and advance scheduling modules, end user customer service for mobile app for timekeeping and advance scheduling modules, timeclocks hardware configuration backup for basic functionality, clocks configurations across campus and clinics, schedule planner, schedule patterns, partial shifts, open shifts, posting schedules and labor transfers sets.
  • Accountable partnering with twenty-four (24)-hour departments who use timekeeping and advance scheduling as part of their daily operations and supervise collaboration of teams with leaders and end users in those areas.
  • Responsible for correct remote workers reporting in states where organizations do business within compliance with regulation for overtime, meals and breaks and any other state or federal regulation that requires timekeeping and scheduling compliance.
  • Liaison with Human Resources, Payroll, Finance and Supply Chain Functional Areas Teams
  • Understand how to define the scope of a project, develop an approach and project plan, facilitate meetings, secure resources, and coordinate the activities of multiple projects within established timeframes.
  • Assess project risk and implement mitigation plans. Assess operational impact of projects, including training, and works with appropriate leaders to ensure readiness.
  • Take the lead in integrated activities that span operational, clinical, and/or technical areas.
  • Able to interact positively and productively with teams and leaders across the system, at every level.
  • Guides operational counterparts in decision making, optimal workflow design and change management needed to support successful implementation.
  • Maintain confidentiality of sensitive information and inform management of pertinent issues.
