Job description:

Job title: Senior Inventory Officer                                 

Site: Kansanshi Mining Plc.                                          

Department: Commercial

Section: Warehouse                                                    

Position reports to: Warehouse Manager and Warehouse Superintendent

Direct reports: Inventory Supervisor    

                         

Purpose

To assist the superintendent in all aspects of his/her responsibilities aimed at ensuring that adequate inventory of all stock items is maintained to support maintenance, and operational activities at Kansanshi to meet production targets, whilst also ensuring that items are not overstocked. 

Manage and oversee inventory operations, ensuring accuracy, optimal stock levels, and effective coordination across warehouses and supply chain teams.

Key Responsibilities

  • This position will be required to adhere to all relevant requirements, policies, procedures and legal regulations pertaining to health, safety, environment and quality, as well as finance, human resources, and any other regulations as required by the company and relevant to the level of the role and responsibilities of the function.
  • Inventory Management: Oversee inventory cataloguing and verification activities across multiple warehouses, ensuring stock levels are accurate and aligned with annual and monthly inventory plans.
  • Stock Control: Conduct regular stock counts, monitor stock movements, and maintain accurate inventory records in databases
  • Procurement Coordination: Work closely with procurement and purchasing teams to ensure timely replenishment of stock and prevent shortages or overstock.
  • Reporting and Documentation: Prepare and submit inventory reports, including stock levels, turnover ratios, and aging analysis, to support decision-making 
  • Process Improvement: Identify inefficiencies in inventory processes, implement improvements, and optimize inventory turnover while minimizing waste 
  • Team Leadership: Supervise and mentor inventory staff, fostering collaboration and ensuring adherence to inventory policies and procedures. Assume duties and responsibilities of the warehouse superintendent when on leave.
  • Cross-Functional Collaboration: Coordinate with logistics, supply chain, and finance teams to align inventory strategies with organizational goals.

Qualifications

All academic qualifications and results must be verified by the Zambia Qualifications Authority (ZAQA).

  • Minimum Grade 12 Certificate with grades 4 and above in Maths and English
  • B Sc Degree (Purchasing & Supply) or Full CIPS UK Graduate Professional Diploma
  • Proficient in the use of Microsoft Office products, especially Word, Outlook and Excel
  • Skilled in stock cataloguing and classification systems, such as the Auslang and NATO Coding & Classifications Systems.
  • Membership of the Zambia Institute of Purchasing & Supply

Experience

  • Five years working experience in various functions of Supply Chain Management
  • A good knowledge of materials/spares and equipment generally used in mining industry.
  • Proficient in the use of ERP systems such as Pronto.

BEHAVIOURAL TRAITS

  • Ability to communicate verbally effectively with junior and senior officials to resolve problems
  • Ability to communicate effectively in writing with end-users, procurement and suppliers to resolve complex problems.
  • Ability to read/understand basic technical literature & drawings
  • Good interpersonal skills essential in dealing with end-users and others to address stock related problems.
  • Understanding the wide range of materials and where used on the mine site
  • Ability to produce adhoc reports on request from various users, including government departments/agencies.
  • Ability to work under extreme pressure to deal with queries on stock outs and demands for stock from various end-users on-site which may have negative consequences on maintenance and operations, if not addressed expeditiously.
  • Ability to think ahead and factor in various considerations when reviewing items for reorder: e.g stockholding impact, safety, service level, lead times, economic order quantity, quality, etc.

OPERATIONAL REQUIREMENTS

  • Knowledge of Warehousing processes and procedures such as: receiving and issuing, reorder and stock control, stocktaking, material inspection, safety, and quality considerations.
  • Knowledge of the varying criticality of materials/spares and assigning appropriate priorities to various demands for stock.
