Role Summary
The Sales Performance Coordinator is the operational backbone of the team: the person who owns the recurring processes, data handling, vendor administration, and documentation that keep Sales Force Development's (SFD) programs running cleanly. Program and event support (media assistance, logistics, survey distribution) rounds out the role, but the core of the job is process and execution ownership, not content creation.
Core Responsibilities
Producer Subsidy Plan (PSP) Intake & Tracking
- Serves as the day-to-day owner of the PSP application intake process, including the conditional-logic form and status tracker.
- Processes incoming applications, flags exceptions or misclassifications, and routes questions to the appropriate Sales Programs lead.
- Keeps the PSP repository current and audit-ready.
Vendor & Seat Administration
- Manages seat allocation and enrollment tracking for SFD's vendor tools (AuctusIQ, Hyperbound, Cornerstone LMS).
- Monitors utilization against contracted seat counts and flags underuse or overage.
- Tracks renewal dates and prepares renewal briefing notes ahead of contract deadlines.
Document & Version Control Stewardship
- Maintains naming and versioning discipline across SFD materials (Enterprise Protection Strategy (EPS) modules, Skills Week decks, case study backgrounders, and similar assets).
- Owns the SharePoint/OneDrive file structure and ensures the version in circulation is always the current one.
Survey Administration & Data Preparation
- Publishes and distributes surveys (Kirkpatrick L1/L2 and program-specific instruments) on schedule.
- Cleans raw survey exports and builds first-pass data tables for review.
- Analysis and interpretation of results for coach-facing reports remain with Sales Performance Operations; this role prepares the data, it does not own the conclusions.
Claude Project / AI-Tool Hygiene
- Performs routine upkeep on SFD's live Claude Projects.
- Tests changes before they go live and serves as first point of contact when a coach reports a tool issue.
- Escalates substantive changes in scoring logic, framework mapping, or program content to the relevant program owner rather than making those calls independently.
Budget & Expense Support
- Tracks vendor invoices against budget and helps reconcile vendor expenses.
- Supports expense report preparation and flags discrepancies for review.
Coach Onboarding Logistics
- Owns the repeatable onboarding cadence for new coaches: scheduling, resource kits, and system access, on a recurring basis rather than built fresh each time.
Secondary Responsibilities — Program & Event Support
These duties support the broader team but are not the primary basis for evaluating this role.
Logistics Support
- Assists with event planning and supplies across SFD programs (not limited to any single program).
Media Creation
- Produces first-draft artwork, diagrams, and simple video assets using Claude and approved AI tools, primarily to support the Instructional Media Specialist rather than to replace that function.
Marketing & Awareness
- Publishes and sends surveys and assists with internal advertising of SFD programs and wins.
- Administration of CERKL, SFD newsletter, Seismic, workshop reminders.
Qualifications
- 1–3 years in an operations, program coordination, or administrative role; corporate training environment a plus but not required.
- Comfortable working in Claude or similar AI tools for drafting, data cleanup, and first-draft creative work.
- Strong attention to process detail; comfortable owning a tracker or repository without daily oversight.
- Basic proficiency with design tools (Canva, PowerPoint, or similar) for artwork and diagram support.
- Proficiency in Microsoft Excel, including formulas, pivot tables, VLOOKUP/XLOOKUP, and conditional formatting for large, multi-source datasets
- Experience importing, cleaning, and reconciling data exports from business systems into structured formats
- Organized communicator who can flag exceptions and escalate appropriately rather than guessing.
