HOURLY: $15.00


SECTION I-JOB DESCRIPTION


SUMMARY:

Under the supervision of the Clinical Director or designee. The Office Clerk performs day-to-day administrative functions that support the Clinical Services Program. Works in conjunction with all clinical staff to assist and support program services and comply with contractual and departmental policies, procedures, and protocols



ESSENTIAL FUNCTIONS:

  1. Employee will accurately document all time worked.
  2. Perform general office functions; data entry, scanning, faxing, and making copies.
  3. Answer telephone, take messages, re-route phone calls, and provide general program information in a professional and courteous manner.
  4. Responsible for meeting and greeting clients and directing them to the appropriate program.
  5. Assist with scheduling/rescheduling appointments, calling lapsed appointments, and phone call reminders.
  6. Assist with screening and registering clients for services offered through the Clinical Services Program, including but not limited to family planning, and immunization services
  7. Maintain high level of confidentiality when dealing with sensitive information.
  8. Ability to multitask a variety of activities within the scope of clerical duties.
  9. Assemble, organize, and restock supplies and forms used by the program in completing work assignments.
  10. Maintain records and files in correct and orderly format with appropriate documents.
  11. Assist with manifesting patient charts following record retention policies and procedures.
  12. Ensure compliance with organization policies and procedures.
  13. Utilizes sound judgment and maintains strict confidentiality.
  14. Performs job duties by maintaining open communication between co-workers, Clinic Coordinators, Medical Assistants, Nurse Practitioner and Administrative personnel.
  15. Performs efficient and routine work under minimal supervision and takes initiative to complete required activities and delegated duties.
  16. Other duties as assigned.

SECTION II-JOB REQUIREMENTS


EDUCATION AND EXPERIENCE:

High school graduate or equivalent plus one-year (1) experience in clerical work involving filing and posting medical information for medical records.


KNOWLEDGE, SKILLS, AND ABILITIES:

Ability to maintain high level of confidentiality with sensitive information. Quality judgment skills are needed to aide in completing tasks. Knowledge of computer programs software (MS, Word, Excel, Power Point, internet). Ability to follow oral and written instructions. Thorough communication skills to communicate with the public (oral, written and Spanish speaking ability). Strong communication and organizational skills. Ability to work with others as a team member. High level of energy is necessary for meeting strict deadlines and demands. Knowledge of proper office etiquette in handling telephone and public. Knowledge of public health laws and regulations. Knowledge of safety and infection control rules. Knowledge of natural history of common infectious diseases.



SPECIAL REQUIREMENTS:

Must have a valid Texas Driver's License, comply with State of Texas Driving Laws, and maintain an acceptable driving record. Must have reliable transportation. Employees of Cameron County may be required to work during any natural disaster or emergency, extended hours and non-traditional work schedules (i.e., Saturdays and Sundays). Criminal background check is required for employment or continued employment.


PHYSICAL DEMANDS:

Good health and physical condition sufficient to permit full performance of the duties of the position. If additional assistance is required, employee must request assistance prior to performing the assignment.


SECTION III-JOB DIMENSIONS


CONTACTS:

EXTERNAL CONTACTS:

Occasional contact with other health, social, and educational care agencies, outside organizations. Frequent contact with clinic clientele. Communication is via telephone, written communication and face to face.

INTERNAL CONTACTS:

Utilizes tact when dealing with County employees, health, social and educational care providers, and clientele regarding operations issues. Constant contact with County Personnel. Communicating is primarily face-to-face, via telephone and through written communication.


RESPONSIBILITY:

Comply with Cameron County and Department of State Health Services rules/regulations and display a positive public image. As a Cameron County employee, the identity of every client shall be kept confidential except to the extent necessary to carry out the purpose of an investigation, hearing, or judicial proceeding.


DIFFICULTY:

Judgement is required to ensure completion of job activities as assigned by the Immediate Supervisor or designee. Uses discretion to achieve work goals. Initiative is constantly required to achieve work goals.


GUIDANCE:

As assigned by Immediate Supervisor or designee. It is the responsibility of the employee to know and maintain contact with their Immediate Supervisor or designee.


WORKING CONDITION:

Working conditions are primarily in a clinic, office, or community center
