Job Responsibilities
Office Administration & Operations
· Oversee day-to-day business operations for the Mexico organization, ensuring efficient and effective support of business
objectives.
· Serve as the primary liaison between Mexico operations and U.S. headquarters.
· Manage relationships with local vendors, service providers, and government agencies.
· Support leadership with reporting, operational planning, and special projects.
Logistics & Supply Chain Management
· Coordinate domestic and international shipments between Mexico, the United States, and customer locations.
· Manage relationships with freight forwarders, customs brokers, transportation carriers, and third-party logistics providers.
· Ensure timely import/export processing and compliance with customs requirements.
· Monitor shipment activity and proactively resolve transportation, delivery, and logistics issues.
· Coordinate inventory transfers, warehouse operations, and material availability to support customer demand.
· Maintain accurate shipping, inventory, and logistics records.
· Support inventory management, forecasting, and demand planning activities.
· Analyze logistics performance and costs, identifying opportunities for process improvements and operational efficiencies.
Import/Export Compliance
· Ensure compliance with Mexican customs regulations, international trade requirements, and company policies.
· Coordinate import permits, export documentation, certificates of origin, and customs filings.
· Maintain records supporting IMMEX, USMCA, VAT, and other applicable trade programs.
· Collaborate with customs brokers and internal stakeholders on duties, taxes, and trade compliance matters.
· Monitor and respond to regulatory changes affecting cross-border operations.
Service Operations Support
· Manage service and product orders from receipt through completion, including purchase order entry, material requests, invoicing,
collections, and order closeout.
· Process and upload customer invoices, ensuring accurate billing and timely submission through customer portals.
· Review, code, and submit invoices and travel expenses for Accounts Payable processing and compliance.
· Obtain and coordinate third-party vendor quotations to support service and operational requirements.
· Support shipping and receiving activities and coordinate with internal teams, customers, and vendors to ensure efficient order
fulfillment and delivery.
Customer Service & Sales Support
· Partner with sales teams to support order processing, shipment coordination, and customer communications.
· Manage delivery schedules and customer logistics requirements.
· Maintain customer documentation, including purchase orders, invoices, shipping records, and contracts.
· Resolve customer delivery, logistics, and order fulfillment issues in a timely manner.
· Ensure data accuracy and integrity within CRM and ERP systems.
Financial Administration
· Support budgeting, purchasing, and expense management activities.
· Coordinate invoice processing and vendor payments.
· Assist with accounts receivable and collection efforts.
· Maintain accurate administrative and financial records to support business operations.
Job Requirements:
· Self-motivated with the ability to work independently and manage multiple priorities in a fast-paced environment.
