Greets and directs all visitors with enthusiasm, professionalism and courtesy. Provides very positive and professional first impression to visitors. Announces visitors to appropriate party promptly and politely. Directs guests and clients to the waiting area and provides snack or beverage experience when possible and appropriate. Establishes a strong rapport with clients, vendors and contractors. Adheres to company policies and procedures, following all safety and security protocols. This individual is expected to help maintain appropriate records for visitor logs, manages guest visitors and their needs, including providing local directions and dining suggestions. This individual keeps reception area, reception desk and all related areas neat and orderly and manages vendor work on site in conjunction with the landlord, property manager.Job Description
About the role:
- Serve as the first point of contact for visitors, clients, vendors, and employees, ensuring a professional and welcoming experience.
- Greet, assist, and direct visitors to the appropriate contacts or meeting locations.
- Manage incoming calls, screen inquiries, route calls, and take detailed messages when required.
- Maintain visitor registration processes, issue visitor badges, and ensure accurate visitor records.
- Deliver an exceptional workplace and guest experience through professional customer service.
- Coordinate meeting room bookings, visitor arrangements, and workplace logistics.
- Support the planning and coordination of events, catering, and ad hoc workplace requests.
- Provide administrative support, including document handling, office coordination, and supply management.
- Maintain reception, conference rooms, and guest areas to a high professional standard.
- Coordinate facilities-related requests with building management, vendors, and service providers.
- Act as a liaison between clients, building management, and third-party vendors to resolve workplace issues.
- Provide travel and transportation assistance for visitors and employees as needed.
- Ensure compliance with company policies, safety standards, and security procedures.
About you:
- Minimum of 2 years of reception, hospitality, and/or vendor coordination experience
- 2 years of experience in face-to-face interaction with customers preferred
- A pleasant phone voice and excellent verbal and written communication skills a must
- Organization and attention to detail required
- Must be able to work in a fast paced, high volume environment
- Proven computer experience essential including proficiency in Outlook, Word and Excel required
- Ideal candidate must have a positive attitude and be comfortable in providing customer service to a diverse population
