About This Role
We are seeking an Office Administrator to manage our front desk and support day-to-day office operations. This role will focus on maintaining a welcoming, well-organized, and well-stocked office environment and supporting onsite employees and visitors with administrative and office-related needs. The Office Administrator will play a key role in ensuring smooth office operations at our Emeryville headquarters. The ideal candidate is customer-service-focused with experience with office administration and logistics, workplace operations and maintenance, and site visits and events.
This role reports to the SVP, People and Talent.
This is a permanent part-time position. This is an onsite position based out of our Emeryville headquarters, and the working hours are generally within 8am-3pm PT (25-30 hours per week) with some flexibility as needed.
What You’ll Do
- Manage the front desk, visitor badges and logs, and access to the office space.
- Manage day-to-day operations of the Emeryville office, ensuring an organized, and productive workspace.
- Partner with teams across the organization to support office logistics and general administrative needs.
- Manage shipping and receiving of office mail and packages.
- Coordinate office facilities, maintenance, vendor relationships, and service contracts to support business needs.
- Order and maintain office supplies, kitchen snacks, beverages, and general employee resources.
- Manage the upkeep of office kitchens and common areas.
- Manage the employee and marketing swag inventory.
- Support and help coordinate onsite office visitors, company meetings, and candidate interviews.
- Support employee committees, activities, and events.
- Support travel arrangements, accommodations, and expense processing for visitors as needed.
- Support employee onboarding and offboarding activities, including workspace setup, equipment management, and coordination with cross-functional teams.
- Support workspace planning and facility improvement projects.
- Perform other office and administrative duties as assigned.
What You Bring
- BA in a relevant field is preferred.
- 3+ years of experience in an office administration role in a professional company setting.
- Experience supporting office operations, vendor management, and administrative processes.
- Experience coordinating meetings, events, travel logistics, and other operational activities.
- Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Strong interpersonal skills with a customer service-oriented mindset and the ability to build relationships across all levels of the organization.
- Strong organizational skills with the ability to manage multiple tasks and adapt based on priorities.
- Excellent written and verbal communication skills.
- Reliable, proactive, and able to work independently while exercising discretion with confidential information.
Nice To Have
- Familiarity with procurement tools, company intranets, or expense processing systems.
- Familiarity using Canva or another graphic design tool.
The base compensation range for this position is $30 - $38 per hour. The range provided is an estimate. Actual compensation may vary based on skills, experience, education, location, and other factors permitted by law.
