The Opportunity
We're seeking a talented, customer-service-focused Benefits Specialist to support Catalis employees through our benefits, retirement, and leave-of-absence programs across the U.S. and Canada. You'll be the primary point of contact for employees on all things benefits: answering questions, resolving issues, and guiding them with care and professionalism. You'll also partner closely with Payroll and Accounting, as well as external brokers and vendors, to keep our programs accurate, compliant, and running smoothly.
This role is a great fit for someone who wants to be the master of their domain. You'll have real autonomy to own your programs end-to-end, backed by teammates you can lean on when you need a second set of hands or a sounding board. It's a chance to make a meaningful, visible impact on our Benefits function and on the employees who rely on it.
This is a hybrid, exempt position offering flexibility, reporting to the Director, Total Rewards, with a preference for candidates based in the Atlanta, GA metro area.
What You Will Do
Benefits & Retirement Plan Administration
• Provide proactive, day-to-day administrative support for benefit plans and programs, including medical, dental, vision, life/AD&D, disability, wellness platforms and initiatives, 401(k), HSA, FSA, RRSP, DPSP, and COBRA.
• Process benefits enrollments, terminations, and qualifying life events across Paylocity/Bswift, Canadian benefits providers, and Manulife, ensuring accuracy and compliance.
• Coordinate with benefits vendors and carriers across 401(k), RRSP, pharmacy, medical TPA, stop-loss, and other plan areas to resolve issues and maintain accurate eligibility and plan information.
• Respond promptly and professionally to employee inquiries about benefits plans, eligibility, claims, and related issues.
Leave of Absence & Compliance
• Facilitate leave-of-absence requests among employees, managers, and third-party administrators, coordinating with Payroll and managers to ensure accurate timekeeping and leave tracking.
• Interpret and ensure compliance with state and federal regulations relevant to leaves of absence and disabilities, including FMLA, state-specific requirements (e.g., New York), Workers' Compensation, and ADA.
• Maintain and update employee benefits records in compliance with company policy and applicable regulations.
Financial Reconciliation & Reporting
• Reconcile 401(k), HSA, FSA, RRSP, and similar contribution activity for each pay period, researching and correcting any discrepancies between payroll, recordkeeper, and plan data.
• Review monthly invoices, work with vendors to fix discrepancies, and help accounting when they notice variances. The emphasis is on follow-up and getting things corrected, not deep reconciliation work.
Communications & Projects
• Develop and distribute benefits and wellness communications, such as plan summaries, webinars, and announcements, including materials for onboarding, offboarding, and open enrollment.
• Participate in benefits-related projects, including annual open enrollment, benefits audits, and vendor evaluations.
• Support the implementation of new benefits programs and initiatives.
Requirements
What You Will Need to Succeed
• Bachelor's degree in human resources, Business Administration, or a related field preferred; equivalent benefits experience will be considered.
• 3+ years of experience in benefits administration
• Excellent customer service skills
• Strong analytical and organizational skills with close attention to detail; comfortable working independently and exercising sound judgment
• Working knowledge of benefits and general HR processes, regulations, and laws, including HIPAA, COBRA, FMLA, ADA, PPACA, and Form 1095-C
• General understanding of ERISA, DOL, and IRS regulations
• Proficiency in Microsoft Office programs, including Excel
Nice to Have
• Professional certification such as Certified Benefits Professional (CBP) or Certified Employee Benefits Specialist (CEBS)
• Experience with self-insured/self-funded benefits administration
• Canadian benefits experience
• Paylocity/Bswift experience
